Job PurposeThe RFI/RFP Specialist is responsible for managing and coordinating responses to RFIs, RFPs, and client questionnaires, ensuring submissions are strategically aligned with client expectations and company positioning. This role partners closely with cross‑functional teams to deliver accurate, timely, and high‑quality proposal responses.
Key Responsibilities- RFI / RFP & Proposal Support
- Coordinate and support responses to RFIs, RFPs, and complex client questionnaires.
- Ensure all responses are aligned with strategic objectives, brand positioning, and client requirements.
- Assist in drafting, reviewing, and organizing proposal content for accuracy and consistency.
- Due Diligence & Information Preparation
- Support collection and organization of documentation required for due diligence processes.
- Assist with preparation for client audits and third‑party evaluations.
- Ensure financial, compliance, and operational information is thorough and accurate.
- Cross‑Department Collaboration
- Partner with internal teams including Sales, Operations, Legal, Quality, IT, and Finance.
- Gather, validate, and consolidate information to meet client standards.
- Ensure subject‑matter expert input is incorporated accurately and efficiently.
- Tracking, Deadlines & Deliverables
- Track all client requests, deadlines, and deliverables to ensure on‑time submission.
- Maintain a clear and accessible history of client requests and responses.
- Monitor progress of each request and follow up on outstanding items.
- Generate performance metrics related to response times and workflow efficiency.
- Provide visibility into request status and flag risks proactively.
- Repository Development & Knowledge Management
- Create and maintain a centralized repository of proposal content, templates, and reference materials.
- Ensure information is updated regularly and easily accessible for future use.
- Support continuous improvement of proposal processes and documentation standards.
- Bachelor’s degree in Business Administration, Life Sciences, Logistics, Marketing, or a related field.
- 3+ years of experience in proposal management, RFIs/RFPs, or client assessments.
- Proven ability to manage complex proposals and customer questionnaires.
- Experience working across multiple stakeholders and managing concurrent deadlines.
- Exceptional organizational skills and strong attention to detail.
- Excellent written and verbal communication skills.
- Strong interpersonal and cross‑functional collaboration abilities.
- Strategic mindset with a customer‑focused approach.
- Ability to manage multiple projects simultaneously under tight deadlines.
- Adaptability and strong problem‑solving skills.
