The Sales Coordinator plays a key role in supporting the Sales and Design teams by managing client communications, preparing proposals, tracking leads, and ensuring a seamless sales process from initial inquiry through contract execution. This position requires exceptional organization, communication, and follow-up skills, along with a polished, client‑facing demeanor. The ideal candidate thrives in a fast‑paced environment, is tech‑savvy, and has a passion for luxury design and construction.

DUTIES

AND RESPONSIBILITIES
  • Serve as the primary point of contact for incoming client inquiries and coordinate responses in a timely and professional manner.
  • Support the Sales and Design teams with proposal preparation, client presentations, and document organization.
  • Maintain and update CRM systems, ensuring all client and project information is accurate and up to date.
  • Schedule client meetings, showroom visits, and site consultations.
  • Coordinate communication between clients, designers, project managers, and accounting to ensure smooth handoffs.
  • Prepare and send estimates, contracts, and follow‑up communications.
  • Assist in tracking leads from various marketing channels and ensure proper follow‑up protocols are followed.
  • Collaborate with Marketing to maintain sales materials, presentations, and visual assets.
  • Provide administrative support such as data entry, report generation, and filing.
  • Perform other duties as assigned by management.
SUPERVISORY RESPONSIBILITIES

This position does not have direct supervisory responsibilities but may coordinate activities with other departments and external vendors.

QUALIFICATIONS
  • Bachelor’s degree in Business, Marketing, Communications, or related field preferred.
  • Minimum 2 years of experience in sales coordination, client relations, or administrative support (preferably in luxury construction, design, or hospitality).
  • Excellent written and verbal communication skills.
  • Strong attention to detail, organization, and follow‑through.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and CRM or project management software (Hub Spot, Salesforce, , etc.).
  • Professional appearance and demeanor; comfortable interacting with high‑end clientele.
CERTIFICATES, LICENSES, AND REGISTRATIONS PREFERRED
  • Sales or Customer Service training certifications
  • CRM Software (Hub Spot, Salesforce, or similar)
  • Spreadsheet Software (Excel)
  • Word Processing Software (Word)
  • Presentation Software (PowerPoint)
  • Electronic Mail Software (Outlook)

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • Frequently required to talk, hear, and interact with clients in person or by phone.
  • Work is performed in an office and showroom environment with moderate noise levels.
  • May occasionally visit construction sites or outdoor environments.
