Supports FIU's School of Music (SOM) in all activities related to undergraduate and graduate recruitment, admissions, enrollment, retention, matriculation, program marketing, FTIC retention, and graduation.
Responsibilities- Coordinates School of Music (SOM) academic support services, including recruitment, enrollment management, retention planning, implementation, and monitoring strategies. Including but not limited to, applicant tracking, college fairs, graduate ceremonies, FTIC workshops, student convocations, reporting, and on-time graduation for undergraduate and graduate students.
- Travels and prepares presentations to participate in major recruitment events including Florida Music Educators Association (FMEA), SOM information sessions, open houses, college fairs, showcases, orientations, transfer student workshops, social networking, and graduate school showcases. Participates in all recruitment events. Coordinates and conducts off campus high school and on campus SOM tours individually and/or in groups.
- Creates reports to communicate with Director of the School of Music (Department Chair) and Area Coordinators the status of all academic support services and activities. Completes internal reports (e.g., monthly totals, requests by department, transfer institutions, year-to-year comparisons, etc.) in collaboration with University Admissions.
- Manages Get-Acceptd Site. Responsible for entering all student admissions status in the Panther soft system. Generates admissions and recruitment reports. Maintaining all student files (paper and electronically).
- Communicates with applicants/students throughout the audition/admissions process and assist students or faculty with trouble shooting issues and approving exceptions. Provides guidance in navigating online systems in the admissions process, including but not limited to admission requirements, admission status, financial aid, and university policies and procedures. Responsible for assisting students in SOM scholarship process.
- Orders and maintains recruitment materials. Assists in the development of publications, brochures, and a media plan to enhance recruitment efforts. Works with the Division of External Relations and SOM account manager on all collateral and marketing materials to ensure brand integrity.
- Monitors the progress of SOM First Time In College (FTIC) students, and identifies at‑risk students. Under the direction for the Director of SOM and Area Coordinators, develops appropriate interventions to assist FTIC students. In collaboration with University Admissions Office.
- Maintains and enhances the transfer student equivalency database to document requests, status of requests, and final outcomes. Prepares transfer packets for advisor and faculty training, as well as student outreach events. Maintains confidential records, ensuring that ethical and legal guidelines (FERPA) are followed. Collaborates with University Admissions Office.
- Submits approved transfer course equivalents on Panther soft. Assists transfer students in the course equivalency process, including gathering, submitting, and reviewing transfer documents for entry into the internal database.
