Meeting Services Concierge

Executive Center Concierge who serves Executive Meeting Center attendees in the capacity of a hotel concierge. The role monitors guest and meeting planner satisfaction and manages the day‑to‑day flow of operations of the Executive Meeting Center, ensuring rooms are set to specification, coffee breaks are prepared and maintained, and the business center is fully stocked during all open hours. This position is in the front line of guest satisfaction and involves significant guest contact.

Job Functions
  • Fulfill guest needs relative to business center or clerical services such as typing, copying, faxing and making signs/nametags.
  • Responsibility for daily revenue for banquet and catering department: print banquet checks, acquire signatures, post revenue in Fidelio and complete banquet recap spreadsheet for accounting.
  • Assist in planning group events with the Director of Executive Meeting Center and Conference Services Manager.
  • Compile and distribute all information regarding groups (BEOs, resumes, event summary, parking info, etc.).
  • Provide guests with information about meetings and meeting services.
  • Send and deliver guest faxes when appropriate.
  • Send and receive guest packages and conference materials.
  • Prepare signage for all conference functions.
  • Maintain the shipping and receiving log.
  • Post guest business‑related charges on a daily basis.
  • Maintain the business center supplies inventory.
  • Build and maintain a good relationship with clients.
  • Work as a team with all other departments.
  • Maintain the shipping cage and business center in a clean and orderly fashion.
  • Accurately maintain all group‑billing files.
  • Know the names, locations, capacities, capabilities, and interactions of all conference rooms and areas.
  • Understand all meeting room set‑styles and when to use each.
  • Be knowledgeable about Business Center services and amenities.
  • Supervise the daily operation of the Conference Center, including opening and closing, general maintenance and cleaning, and guest management.
  • Be available to answer any guest or client request, including future clientele and non‑conference guests.
  • Assist in the training and development of the CSA team.
  • Respond promptly and properly to any human‑resource situation.
  • Attend meetings and staff reviews.
  • Communicate all known problems to the Manager.
  • Supervise projects, routine cleaning assignments, etc. as assigned by the Manager.
  • Ensure the safety and housekeeping of all areas, including back hall and storage areas.
  • Follow sustainability guidelines and practices related to HHM’s Earth View program.
  • Practice safe work habits.
  • Perform other duties as requested by management.
Position Requirements
  • Minimum one year hotel experience and one year guest contact experience.
  • Basic computer literacy and good typing skills.
  • Strong verbal and written communication skills.
  • Ability to communicate with all levels of hotel staff and clients.
  • Ability to recognize problems before they develop and take appropriate action.
  • Ability to independently organize and complete multiple tasks and projects.
  • Excellent organizational and time‑management skills.
  • Ability to communicate verbally in English with guests, management, and co‑workers to their understanding.
  • Ability to prioritize own workload.
  • Highly energetic and enthusiastic.
  • Diplomatic in providing for the needs of clients without compromising the mission of the department.
  • Excellent listening skills.
  • Ability to perform basic mathematical computations.
Work Environment and Context
  • Required to sit for extended periods, lift up to 10 pounds, bend, reach, and use hands/fingers to operate keyboard.
  • Work schedule varies and may include working on holidays and weekends.
