What You will Do
The Office / HR Manager ensures the smooth day-to-day running of the workplace. They handle administrative tasks such as managing office supplies, organizing meetings, and maintaining records. The role also involves coordinating with vendors, supporting staff needs, and ensuring a well-organized, efficient environment. Strong organizational and communication skills are essential for success. Working closely with the Managing Director of AECMI and the President of AELM, they help create an efficient and well-structured office environment.
The Office / HR Manager also oversees HR Benefits Administration and as well as various HR related Administrative Duties and is in close contact with the Sr. HR Manager EUR & RoW.
Roles and Responsibilities
- Act as Company Secretary for business licenses in USA
- Liaison with Office Management Company for Property Maintenance
- General Office Maintenance and programs
- Office supply contract and other office related matters as necessary
Office & HR compliance
- Ensure compliance with employment laws, regulations, and company policies
- Lead the application process for work visa (L1a)
Develop & implement employee engagement initiatives and proactively address issues to enhance job satisfaction and retention.
- Organize events for staff / clients
Assist in external audits and inspections by Authorities.
HR Administration
- Assist the Total Reward Payroll team with the payroll administration
- Follow up of Paid Time Off (PTO)
- Wages and 401K Pension Administration & Communication
- Health benefit insurance administration, including renewals
- Corporate insurance administrator
Manage local HR operations. Drive diversity, equity, and inclusion initiative within the organization.
- Facilitate smooth employee onboarding and guide new hires through the induction
- Facilitate offboarding process
- Offer support to employees on various HR matters and promptly address any concerns or problems that may arise – in close contact with the sr HR Manager EUR & RoW
- Ensure accurate and up-to-date maintenance of employee records, including new hire information and changes in employment status
What We Are Looking For
Experience:
- A minimum of 5-years Office Management experience
- HR experience is an asset
Specific (Business) Knowledge:
- Office 365
- Legal aspects of employment
