Full time, Temporary, Pay Grade H1.

Core Job Functions
  • Compile and maintain records of quantity, type and value of material, equipment, merchandise, or supplies stocked.
  • Count material equipment, merchandise or supplies in stock and post totals to inventory records, manually or using inventory system.
  • Compare inventories to office records or compute figures from records such as production records or purchase invoices to obtain current inventory.
  • Verify clerical computations against physical count of stock and adjust errors or investigate and report reasons for discrepancies.
  • Compile information on receipt or disbursement of material, equipment, merchandise, or supplies, and compute inventory balance, price, and cost.
  • Prepare reports such as inventory balance, price lists, and shortages.
  • Prepare list of depleted items and recommend review of defective or unusable items.
  • Stock and issue materials or merchandise.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
Department Specific Functions
  • Place orders (via "Workday") of "Stock" and "Non-Stock" supplies/materials as needed by staff/technicians.
  • Check orders brought from receiving to ensure accuracy and completeness.
  • Notify requester (i.e., technicians) of parts/items that are ready to be picked up.
  • Evaluate vendor quotes and services to determine most desirable suppliers.
  • Follow up on back orders to determine status.
  • Ensure all parts are stocked and maintained at "PAR" levels.
  • Ensure labels for "Part Identification" ("PID's") are placed on respective bins.
  • Ensure all part records ("PID's") are updated and maintained for accurate pricing, quantity, preferred vendor, etc. within the departmental work order management system ("TMA").
  • Perform on‑going cycle counts to ensure inventory quantities reflected in TMA are true and accurate at all times.
  • Work closely with maintenance technicians and managers for emergency orders to ensure goods are obtained in a timely manner to complete work orders.
  • Ensure that TMA work order status is updated at each phase of the life cycle as it relates to the Stockroom department (i.e., "Parts on Order," "Parts Received," etc.).
  • Other duties as assigned by Supervisor.
Additional Responsibilities
  • All clerks are expected to work interchangeably and cross‑train to cover staff shortages.
  • Assist movers, work on loading dock as necessary when assigned as a "floater" on work schedule.
  • Open and close doors during normal business hours 8:00‑am to 4:30‑pm.
  • Sign packages with correct address and validate PO numbers.
  • Troubleshoot orders with customers and/or office if information is missing.
  • Dispose of trash from moving jobs and take out regular trash for receiving area.
  • Dispense and deliver alcohol.
  • Deliver dry ice Mondays and Wednesdays as scheduled by office.
  • Deliver materials and packages from dock to departments.
  • Run to stores and vendors for supplies as needed.
  • Follow work assignment on moving work order per request.
Core Qualifications
  • High School Diploma or equivalent/relevant experience, certification or license.
  • Minimum 1 year of relevant experience required.
