Key Responsibilities
  • Schedule and organize recurring project meetings, prepare agendas, take detailed notes, and track follow-up items.
  • Maintain organized records of project documentation including contracts, purchase orders, change orders, and internal memos.
  • Update project timelines, milestones, and task lists in project management tools under the guidance of senior managers.
  • Serve as a point of contact for internal teams to relay updates, gather status reports, and ensure timely responses to requests.
  • Compile weekly and monthly status reports for leadership, including budget summaries, timeline updates, and risk flags.
  • Ensure adherence to internal workflows and documentation standards, including proper use of ERP systems like Epicor.
  • Support procurement and service teams by tracking vendor communications, delivery schedules, and invoice processing.
  • Help log and track change orders, ensuring they are documented and communicated to relevant stakeholders.
  • Assist in preparing final project documentation, lessons learned summaries, and archiving materials post-completion.
Minimum Qualifications
  • 1–2 years of administrative or project coordination experience.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft 365 tools (Excel, Outlook, etc.).
  • Excellent written and verbal communication.
  • Ability to work collaboratively and manage multiple tasks.
Preferred Qualifications
  • Bachelor degree in Project Management, Business Administration, etc.
  • Experience with an ERP;
    Epicor is a plus.
  • Experience working in a manufacturing or construction setting.
