Key Responsibilities- Schedule and organize recurring project meetings, prepare agendas, take detailed notes, and track follow-up items.
- Maintain organized records of project documentation including contracts, purchase orders, change orders, and internal memos.
- Update project timelines, milestones, and task lists in project management tools under the guidance of senior managers.
- Serve as a point of contact for internal teams to relay updates, gather status reports, and ensure timely responses to requests.
- Compile weekly and monthly status reports for leadership, including budget summaries, timeline updates, and risk flags.
- Ensure adherence to internal workflows and documentation standards, including proper use of ERP systems like Epicor.
- Support procurement and service teams by tracking vendor communications, delivery schedules, and invoice processing.
- Help log and track change orders, ensuring they are documented and communicated to relevant stakeholders.
- Assist in preparing final project documentation, lessons learned summaries, and archiving materials post-completion.
- 1–2 years of administrative or project coordination experience.
- Strong organizational and time management skills.
- Proficiency in Microsoft 365 tools (Excel, Outlook, etc.).
- Excellent written and verbal communication.
- Ability to work collaboratively and manage multiple tasks.
- Bachelor degree in Project Management, Business Administration, etc.
- Experience with an ERP;
Epicor is a plus. - Experience working in a manufacturing or construction setting.
