Main missions

Based upon documented instructions and operating procedures to be adapted, the Administrative Assistance will assist the Management Team with carrying out tasks (logistic management, coordination of internal and external information, miscellaneous administrative tasks, etc.).

  • Supports the accounting department through completion of the New Customer Checklist
  • Provides back up support as needed to AP/AR, dispatching, purchase orders, order entry and verification.
  • Manages internal customer documentation and reporting.
  • Completes routine reporting in support of Sales and Purchasing.
  • Organizes appointments, manages phone calls, and welcomes visitors on site.
  • Prepares drafts and types various documents and presentations.
  • Files and archives (both in hard copy and electronic format).
  • Manages certain specific operational matters.
  • Oversees access and presents entry documents, s, safety instructions, etc.
  • Assist with maintaining office and breakroom supplies.
  • Sorts, processes, and distributes mail.
Requirements
  • Hands on experience with office equipment (e.g. fax, copier, printer).
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word).
  • Experience utilizing an ERP (enterprise resource planning) system.
  • Exhibits great time management and organizational skills.
  • Able to multitask and prioritize multiple assignments or projects simutaneously.
  • Ability to work independently and within a team environment, as needed.
Job Qualifications
  • Education:

    Secondary education / High school diploma / On-the-job training
  • Professional experience required: 3 - 5 years
