Upper Great Lakes Family Health Center is seeking an Executive Support Specialist to play a key role in ensuring smooth governance and executive operations.
What You’ll Do- Support HRSA compliance by maintaining the organizational compliance system on a monthly basis and coordinating updates in external systems.
- Maintain corporate bylaws and key corporate documents, ensuring organizational contracts and policies are current and properly stored.
- Create executive-ready correspondence, workflow documents, dashboards, spreadsheets, operational tools, and reports to support decision-making.
- Process Board of Directors applications, coordinate Board orientations, and manage board training materials.
- Provide direct administrative support to the CEO, CFO, COO, and Board of Directors, including scheduling, meeting coordination, agenda preparation, and minute taking.
- Coordinate conference and training logistics, including travel arrangements and registrations for executive leadership and Board members.
- Oversee incoming and outgoing mail and process and deposit incoming checks in accordance with organizational banking procedures.
- Participate in virtual and on-site meetings, providing professional input, tracking action items, and serving on committees as needed.
- Support special projects and other duties as assigned to advance organizational goals.
- Associate degree in business or equivalent experience.
- Strong proficiency in Microsoft Office Suite and Adobe Acrobat.
- Excellent communication skills—both written and verbal.
- Ability to prioritize, organize, and adapt to changing needs.
- Professionalism and tact in all interactions.
