Job Description

The Office Representative serves as the first point of contact for patients, both in person and over the phone, ensuring they receive the care they need in a timely and supportive manner. This role requires consistently delivering exceptional customer service and maintaining the highest standards of professionalism in every interaction. In addition, front office staff manage the daily flow of the clinic by greeting patients, answering phone calls, and scheduling appointments.

They verify insurance information, collect co‑pays, maintain accurate patient records, and coordinate with clinical teams to ensure smooth patient transitions—all while upholding confidentiality standards.

Key Responsibilities
  • Greet and assist patients in a professional and courteous manner.
  • Answer and direct phone calls; schedule and confirm appointments.
  • Verify patient information and insurance details.
  • Collect co‑pays and process payments accurately.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Coordinate with clinical staff to ensure efficient patient flow.
  • Handle incoming and outgoing correspondence.
Experience
  • High school diploma or equivalent required; additional administrative training preferred.
  • Previous experience in a medical office setting (orthopedics experience a plus).
  • Strong communication and interpersonal skills.
  • Proficiency in scheduling systems and basic computer applications.
  • Ability to multitask and work in a fast‑paced environment.

This position offers a unique opportunity to join our team during an exciting time of growth and transformation. Later this Fall, we will be opening a brand‑new, state‑of‑the‑art office building designed to enhance patient care and staff collaboration. As part of this expansion, our Orthopedics department will merge with Podiatry and Physical Therapy to create a comprehensive musculoskeletal clinic—all under one roof.

This integrated approach will allow us to deliver exceptional, coordinated care to our patients while providing our team members with a dynamic and innovative work environment.
