We are looking for a flexible, confident and empathetic person to join our friendly and dedicated Reception Team. We provide full supportive training and mentoring.

This is a part-time position Tuesday, Thursday and Friday 8.30am - 5.30pm with flexibility to cover other shifts due to holidays and sickness.

Main duties of the job

Main aspect of the role is to be the first point of contact for patients, secondary care and outside agencies. You will need a positive attitude and excellent communication skills. You will be required to provide admin support to our Clinicians by processing various tasks including prescriptions and follow up appointments whilst adhering to Practice policies and maintaining confidentiality at all times.

We are small village practice in Great Ayton with 2 Partners and 4 Salaried GP's, 4 nurses supported by our dedicated Admin/Reception team. We take pride in offering an excellent service to our patients whilst supporting each other.

As a training practice we have a strong focus on education and support and encourage personal development.

Job responsibilities

This is a post is to provide administrative and clerical support for Great Ayton Health Centre. As you are required to undertake reception duties and have direct contact with patients good communication skills are essential. You will be able to work as part of a team and have proven keyboard skills. It is anticipated that you will be able to use your own initiative and be self-motivated.

MAIN DUTIES

Key duties and responsibilities in accordance with Practice procedures:

  • Receive all patients and arrange either an appointment or contact with the relevant clinical staff to ensure that they receive appropriate attention.
  • Attend to routine patient and clinical staff queries, seeking advice from team leaders or medical staff when appropriate.
  • Receive incoming telephone calls and arrange appointments.
  • Receive all visitors and arrange contact with the relevant staff to ensure that they receive appropriate attention.
  • Develop the ability to perform electronic tasks to keep patient records accurate and up to date when required.
  • File all patient records in accordance with practice systems and procedures.
  • Extract patient records when required.
  • Ensure change of patient's details correctly inputted into the computer and the notes are amended accordingly.
  • Scan patient related documentation and attach scanned documents to patients' healthcare records.
  • Carry out administrative tasks in relation to specific clinics.
  • Obtain a working knowledge of the clinical computer system to enable the process of appointments.
  • Develop the ability to fully understand a patients needs/concerns so that they can be dealt with efficiently and courteously.
  • Develop the ability to identify patient needs and meet their expectations.
  • Maintain a pleasant tidy and safe reception area to benefit patients and comply with Health and Safety legislation.
  • Undertake other appropriate duties consistent with the nature and grading of the post which may be allocated, as the situation dictates, by the Reception Supervisors, Practice Manager or the Partners
Qualifications
  • Excellent communication skills, written and spoken.
  • Ability to use IT systems and windows.
  • Basic knowledge of general protocols and policies relating to reception and admin duties.
  • Ability to use medical IT systems

  • Qualifications
  • To have or to be working towards NVQ Level 2 or 3 in Business Administration and/or Customer Service
Experience

  • Experience with customer services and dealing with public and/or patients.
  • Previous experience of working in a GP surgery.
