Finance Administrative Support Specialist

VOICE, Inc. of Michigan is seeking a Finance Administrative Support Specialist to support both the Community Living Services (CLS) and Interpreting Departments. This full‑time, Monday‑to‑Friday role involves data entry, payroll processing, billing, and financial tracking. The ideal candidate is detail‑oriented, proactive, highly organized, and proficient in advanced computer applications.

Base pay range

$16.00 /hr – $20.00 /hr

Key Responsibilities
  • Front Desk Rotation & Office Support – Rotate front desk duties weekly, provide visitor reception, handle inquiries, and support data entry and document organization.
  • Payroll and Timekeeping – Audit employee time records, resolve discrepancies, maintain accurate adjustments, and process payroll deductions and related payments.
  • Billing and Financial Reporting – Finalize billing shifts, prepare and review financial reports, and enter charges accurately.
  • Compliance – Ensure compliance with IRS regulations and stay informed about applicable laws.
  • Cross‑Departmental Collaboration – Participate in committees, support the Executive Director’s initiatives, and manage calendars and appointments.
  • Customer and Stakeholder Communication – Respond professionally to client and visitor inquiries, ensuring confidentiality.
Qualifications
  • Experience in an administrative or clerical role; healthcare or medical receptionist experience is a plus.
  • Proficiency in Microsoft Word, Excel, Quick Books, Access, and PowerPoint.
  • Understanding of bookkeeping principles (payroll, timekeeping, billing, accounts payable).
  • Degree in Accounting, Business, or related field, or equivalent experience.
  • Strong calendar management, prioritization, and deadline‑meeting skills.
  • Excellent verbal and written communication skills.
  • Advanced computer literacy, especially in Office Suite.
  • Ability to work independently and collaboratively.
  • Attention to detail and multi‑tasking ability.
  • Willingness to cross‑train and assist with various administrative functions.
Requirements
  • Advanced proficiency in Quick Books Online and Microsoft Office Professional Suite.
  • Experience in payroll processing, billing, timekeeping, record maintenance, and accounts payable.
  • Application of bookkeeping principles for accurate financial records and regulatory compliance.
  • Flexibility and willingness to cross‑train and cover other administrative roles.
