Summary

This position requires the ability to work effectively with patients, providers and ancillary staff as they are the front-line person who provides clerical support for the urgent care/occupational health. Facilitates the patient flow process within the practice by answering the phone, scheduling appointments, registering patients, verifying insurance and demographic information and collecting patient payments. As the initial contact person for the practice, demonstrates professionalism by showing respect, kindness, and compassion to patients, families and visitors.

This position must demonstrate excellent customer service to a diverse patient population. Provides clerical support for Occupational Health services as needed and performs other duties as assigned.

Responsibilities
  • Strives for excellent customer service. Acknowledges and welcomes all patients and visitors to the clinic. Greets customers and answers incoming telephone calls in a timely, courteous and professional manner. This person must quickly identify and understand the customer needs, concerns and /or complaints and take required action. (30%)
  • To assure patient safety and accuracy, patient information is verified and updated. Uses IT systems to verify insurance coverage. Completes and updates all information including but not limited to patient demographic, Health Insurance Portability and Accountability (HIPAA), Patient Providers Agreement (PPA), Medicare Secondary Payer (MSP), and consent for treatment. (30%)
  • According to policies and procedures, accurately registers patients using appropriate IT systems. Obtains email address if available for patient satisfaction survey purposes and portal registration. Obtains treatment authorization forms as appropriate, for potential services. (30%)
  • Prior to patient departure, collects applicable copayments, schedules appropriate follow up visits, and completes discharge process as outlined at the practice. (10%)
Other Duties and Responsibilities
  • Understands HIPAA privacy regulations and applies consistently in all communications.
  • Provides education to patients if applicable, the financial policy, protected Health Information (HIPAA), customer satisfaction survey and the Patient Portal.
  • Maintains cash drawer according to organization protocols and balancing procedures at the end of the day. Post payments to patient accounts.
  • Processes all incoming communications. Accurately fax, file and scan documents.
  • Performs office opening and closing procedures as defined by the practice. Knowledgeable in policies, and processes to be able to provide support at other Urgent Care clinics if location/schedule changes are mutually agreed upon.
  • Demonstrates ability and willingness to work as a team member. According to the FIRST guidelines, communicates in a clear, concise and professional manner.
  • Actively participates in the orientation of new employees. Ability to work all shifts, including day, evening, weekends and holidays, up to 12 hour shifts.

  • Performs other duties as assigned.

Associates Degree preferred.

Experience, Training and Skills
  • Minimum of a high school diploma or GED equivalent.
  • Knowledge of medical terminology, medical office practices and procedures as normally acquired through two (2) years working in a medical office or similar setting.
  • Knowledge of reading, writing, mathematical and computer skills.
  • Must possess keyboarding skills needed to register patients and other office tasks.
  • Excellent Interpersonal Skills Are Required To Promote Effective Communication.
