Scheduling Assistant – Cardiology (Midland)

This position is responsible for scheduling patient procedures and diagnostic testing in multiple medical centers. It requires the collection of accurate demographic, insurance and diagnostic data elements, and a broad knowledge of cardiology scheduling, registration, and payer requirements necessary to secure payment.
Responsibilities- Responsible for scheduling complex procedures (60% of workload) including Stress Magnetic Resonance Imaging (MRI), Coronary Angiography (CTA), Cardiac Catheterization, Cardioversion, Electrophysiology studies, Transesophageal echocardiography (TEE), Patent Foramen Ovale (PFO) closure, Atrial Septal Defect (ASD) closure, stent placements, pericardiocentesis, carotid stent, peripheral angiogram, Inferior Vena Cava (IVC) filter removal, Cardio
MEMS, valvuloplasty, pacemaker & generator change, loop recorder implants, ablation procedures, tilt‑table and Watchman procedures, and coordination of Tran catheter Aortic Valve Replacement (TAVR) with the TAVR manager. - Non‑complex scheduling (including echocardiography, Holter, stress echo, lexiscan, myoview, exercise echo, dobutamine echo, arterial Doppler, abdominal CTA, CT, duplex ultrasound, and cardiac MRI).
- Assist with scheduling calls, managing EPIC work queues and in‑basket messages, providing check‑out support, managing recall, and coordinating clinic travel for all cardiology providers (40% of workload).
- Complete and update all forms including patient demographics, HIPAA consents, Patient Provider Agreements, Medicare Secondary Payer (MSP) documents, and treatment consents.
- Adhere to established scheduling guidelines.
- Provide patients with instructions regarding required preparation.
- Perform all other duties as assigned.

Required EducationHigh School Diploma or GED.
Experience, Training and Skills- One year medical office experience in a medical center or similar setting.
- Previous cardiology experience preferred.
- Excellent phone, listening, and interpersonal skills.
- Proficient with Windows PC and internet experience required.
- Ability to work well in a team environment and cover coworker duties as needed.
- Competency in Microsoft® Windows.
- Exposure to stressful situations, public contact, trauma, grief, and death.
- Ability to wear personal protective equipment (latex or substitutes).
- Mobility: able to move freely throughout the facility with or without an assisted device.
- Vision and hearing sufficient with or without assisted devices.
- Ability to sit, stand, walk for long periods; frequent postural changes such as stooping, kneeling, or crouching.
- Exposure to blood borne pathogens and other infectious materials.
- Must follow My Michigan Health blood borne pathogen and TB testing as required.
- Ability to handle multiple tasks independently with regular, predictable attendance.
- Overall dexterity required: handling, reaching, grasping, fingering, and feeling; may involve repetitive motions.
- Physical demand level:
Sedentary; occasional light lifting (0–10 lbs).
