Position: Service Administrative Assistant I

The Service Administrative Assistant I schedules appointments, provides information to callers, and performs various clerical duties to support officials and ensure smooth office operations.

Responsibilities
  • Open work orders for customers
  • Update the aging work‑in‑progress (WIP) list
  • Prepare work orders for invoicing
  • Collect pre‑payments and final payments, and submit for credit approval
  • Issue purchase orders to vendors
  • Communicate with customers and provide excellent customer service for internal and external stakeholders
  • Reconcile P‑cards for business needs
  • Coordinate and arrange meetings and travel; prepare agendas, record and transcribe minutes, and conduct research as needed
  • Order and maintain supplies and arrange for equipment maintenance
  • Perform additional duties as assigned by the supervisor
Qualifications
  • High school diploma, GED, or equivalent; or 1‑3 months related experience and/or training
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees
  • Ability to apply common sense to carry out written, oral, or diagram instructions
  • Ability to solve problems involving several concrete variables in standardized situations
  • Proficiency with MS Office Suite
