Position: Patient Services Assistant - Neurosurgery (Midland)

Summary:

This position acts as the front-line person and provides clerical, secretarial and receptionist support for the practice. Coordinates the patient flow process within the practice by answering the phone, scheduling appointments, registering patients, verifying insurance information, confirming patient demographic information, collecting payments and may be required to schedule tests and/or procedures and process referrals. Coordinates activity between front office, clinical staff, patients and providers.

As the initial contact person for the practice, demonstrates respect, kindness, compassion, courteousness and professionalism to patients, families and visitors. This position will demonstrate excellent customer service to a diverse patient population.

Responsibilities

  • 20% - Strives for excellent customer service. Acknowledge and welcome all patients, families and visitors to the practice. Greet customers and answer incoming telephone calls in a timely manner. Identify and understand the customer needs, concerns and/or complaints and take required action.
  • 20% - Verify and update patient information for accuracy; access websites to verify insurance coverage and confirm provider is assigned correctly. Complete and update forms including patient demographic, HIPAA, PPA, MSP, and consent for treatment.
  • 20% - Accurately schedule patient appointments for all providers in the practice. Utilize multiple computer systems including practice management, EMR, insurance verification, Medifax, population health registry, and Iterminal.
  • 20% - Register new patients and explain practice policies and procedures, including no show, financial and collection policies. Obtain email address for patient satisfaction surveys and portal registration where available.
  • 20% - Prior to patient departure, schedule future appointments, necessary tests and procedures, collect applicable copayments, process referrals, check out patients, obtain prior authorizations as needed.
  • Other duties and responsibilities: understand HIPAA regulations and apply them to daily materials; provide education to patients on Televox, financial policy, HIPAA, PCMH, PRC Customer Satisfaction survey and the Patient Portal; coordinate primary care and specialty referrals; schedule appointments and testing as required; obtain insurance authorizations; maintain cash drawer and balance at day end; post payments to patient accounts; process incoming communications;

    fax, file and scan documents; maintain patient records; perform opening/closing procedures; may support one or multiple practices; knowledge of medication and prescription release processes; work as a team; communicate clearly and professionally; train new employees; demonstrate commitment to customer needs; perform other duties as assigned.

Education and Qualifications

  • Education:

    High School Diploma (Associate degree preferred).
  • Experience/Skills:
    Knowledge of reading, writing, mathematics and computer skills; keyboarding for patient registration and office tasks; knowledge of medical terminology and policies; two years in a medical office or similar setting; interpersonal skills to communicate with individuals and groups; ability to convey ideas clearly.

Physical/Mental Requirements and Working Conditions

  • Exposure to stressful situations, including public contact, trauma, grief and death.
  • Ability to wear PPE including latex or substitutes if required.
  • Able to move about facility with or without assisted devices; able to perform job functions as outlined.
  • Good vision and hearing with or without assistive devices.
  • Frequent sitting/standing/walking; postural changes such as stooping, kneeling or crouching may be required.
  • Potential exposure to blood borne pathogens and other infectious materials; follow My Michigan Health safety protocols.
  • Ability to handle multiple tasks, work independently, maintain regular attendance and stay awake; dexterity for handling, reaching, grasping, fingering and feeling; sedentary physical demand with occasional lifting 0-10 lbs.
