Qualification
- Matric / Senior Certificate
- A certificate, diploma, or relevant qualification in administration, business administration, science, food technology, chemistry, product development, or a related field will be advantageous
- Previous experience in administrative, technical administration, laboratory support, product development, quality, or R&D support environment will be beneficial.
- Strong organisational skills with excellent attention to detail and the ability to maintain accurate records, documentation, and tracking systems.
- Ability to manage multiple tasks, prioritise workload, follow up on outstanding items, and meet deadlines in a fast‑paced environment.
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with internal teams, suppliers, and customer‑facing departments.
- Proficiency in Microsoft Excel and Word, including data capturing, document formatting, basic reporting, and maintaining trackers or registers.
- Comfortable working with systems, databases, templates, and structured documentation processes.
- High level of confidentiality, accountability, accuracy, and willingness to learn technical processes relevant to the department.
- Accurately load, update, and maintain documentation in the R&D system, ensuring that information is complete, current, and aligned with approved product development requirements.
- Coordinate sample requests, monitor sample status, track controls, and maintain clear records to ensure traceability from request through completion and dispatch.
- Prepare, issue, update, and file technical documentation such as formulation templates, product information sheets, sample documentation, and other R&D records required for internal use or customer execution.
- Act as a coordination point between R&D and the sales team by sharing approved technical information, following up on outstanding items, and ensuring customer‑facing teams receive accurate documentation on time.
- Maintain accurate records of completed, pending, and revised documents; ensure files are stored correctly; and support version control to reduce errors and improve accessibility.
- Log raw material requests, liaise with suppliers to obtain pricing, lead times, samples, technical information, and required documentation, and follow up with internal teams where needed. Maintain an effective follow‑up strategy by tracking request dates, responsible parties, expected feedback dates, delivery timelines, and outstanding actions. Regularly update request status, elevate delays where necessary, confirm receipt of materials or information, and issue received items to the relevant R&D team members to support timely product development.
- Support the Lab Manager by tracking agreed actions, deadlines, sample requirements, documentation requests, and outstanding tasks to keep product development activities on schedule.
- Provide day‑to‑day administrative support to the R&D department, including scheduling, filing, data capturing, report preparation, meeting notes, follow‑ups, and coordination of information across departments.
