Position: Spares Administrator (Refrigeration

Technical Competencies &

Experience:

  • Inventory Control:
    Monitor stock levels of compressors, thermostats, gas, and fan motors to prevent stock-outs.
  • Conduct routine physical stock counts and reconcile them with ERP or Warehouse Management Systems.
  • Purchasing & Procurement:
    Source spare parts from local and international suppliers.
  • Process purchase orders, generate Goods Received Vouchers (GRVs), and follow up on outstanding supplier deliveries.
  • Job Dispatch & Scheduling:
    Coordinate with refrigeration technicians and field engineers.
  • Log breakdown calls, plan routes, and dispatch technicians while ensuring SLAs (Service Level Agreements) are met.
  • Invoicing & Quoting:
    Prepare and distribute quotes for repairs.
  • Process parts invoices, manage customer credits, and reconcile transactions with financial teams. [
  • Supplier & Customer Liaison:
    Address client queries regarding parts availability and delivery times.
  • Negotiate pricing with vendors and report backorders or shortages to the Spares Manager
