Head of Finance Operations

The Head of Finance Operations will be the senior internal owner of fund finance, transaction operations and financial control. The role will coordinate and challenge external providers, own the management-company finance function, and ensure that fund and co-investment activity is accurate, timely and audit-ready from deal closing through investor reporting.

Our client is a European investment firm focused on last-stage, single-asset secondary investments in category-leading technology and digital companies, typically in the final years before a liquidity event. Founded in 2021, our client invests directly on company tables and combines concentrated underwriting with a clear exit discipline.

Our client operates with a lean internal team and a network of specialist third-party providers across fund management, administration, accounting, legal, tax and investor onboarding. As the firm scales Fund II and its co-investment platform, it is building institutional-grade finance and operating processes that can support a growing number of transactions, investors and vehicles without adding unnecessary complexity. Fund II is structured as a Luxembourg SCSp RAIF, with AIFM services, fund administration, NAV, capital calls and regulatory reporting delegated to specialist providers, and co-investments are structured through dedicated SPVs.

Fund finance and provider oversight

Own the day-to-day finance relationship with the AIFM, fund administrator, accountants, auditors and other relevant providers; set clear deliverables, review outputs and drive issues to resolution.

Review NAVs, management fees, carried-interest calculations, capital calls, distributions, investor balances and cash reconciliations before release, maintaining an internal control record rather than relying solely on provider outputs.

Coordinate the annual audit, valuation timetable and Luxembourg fund-finance calendar, working with the AIFM, administrator and advisers and escalating only matters that require a partner decision

Transaction, co-investment and SPV operations

Own the operational workstream for each investment and co-investment closing: vehicle readiness, subscription documents, KYC/AML coordination, investor onboarding, funding notices, bank/wire controls, closing funds flow, post-close records and ongoing investor registers, using Carta or other platforms where relevant.

Maintain accurate allocation records across the fund, co-investors and GP participation; track commitments, drawdowns, ownership, cost basis and cash flows by deal and vehicle, and ensure the legal and finance records reconcile.

Management company finance and treasury

Own cash and liquidity planning across the management company and relevant entities, including rolling cash forecasts, bank administration, payment controls, FX where required and planning for GP commitments.

Prepare the annual budget and monthly management accounts/variance view; coordinate payroll, accounts payable, tax, insurance and corporate filings with external advisers, and maintain disciplined approval and payment processes.

Investor reporting and fundraising support

Coordinate quarterly and annual fund and co-investment reporting with the finance providers and Investor Relations team, ensuring that financial, ownership and performance data is consistent across LP communications and underlying records.

Own finance and operations responses for LP data requests, DDQs and fundraising processes, and maintain the underlying evidence so requests can be answered quickly and consistently.

Governance, valuation and operational due diligence

Build and maintain an institutional-quality finance and operations data room, including policies and evidence covering valuation, allocations, conflicts, expenses, cash controls, delegation/oversight, business continuity and key service-provider arrangements.

Coordinate the valuation process and documentation in line with the fund's valuation policy and applicable market practice, with the investment team responsible for company analysis and the finance function responsible for process discipline, supporting evidence and consistency of the final

Act as finance and operations point person for institutional LP operational due diligence, audits and provider reviews, demonstrating clear ownership of controls, records and cash

Systems, data and process improvement

Own the finance and operations source-of-truth across Affinity, administrator/AIFM portals, SPV platforms (including Carta where used),…
