In this versatile role, you will play a key part in supporting our most valuable asset—our people—while ensuring our office runs without a hitch.
You will bridge the gap between employee experience and office operations, gaining invaluable 360-degree exposure across both HR and Facility Management.
1. Human Resources (HR) Onboarding & Offboarding:
Coordinate the end-to-end onboarding process for new hires (hardware setup, documentation, orientation) and manage smooth offboarding workflows.
Culture & Engagement:
Support to organize team events, workshops, and wellness activities to support a positive office culture.
HR Payroll/Finance Support:
Reimbursement activities, Presences, order lunch tickets, Summit Purchase request, verify non trade invoices
Facility & Supply Management:
Oversee office maintenance, manage office supply inventories, and serve as the main point of contact with building management, vendors, and service providers.
Asset Management:
Track and manage company physical assets (furniture, devices, office equipment).
Travel & Procurement:
Assist with booking travel, accommodation, and procuring office services or vendor contracts.
Health & Safety:
Ensure compliance with workplace health and safety standards and maintain emergency response procedures.
3. IT Support & Systems Management First-Line Tech Support:
Act as the internal helpdesk point of contact for basic hardware (laptops, printers) and software troubleshooting.
User & Access Management:
Manage user accounts, software licenses, email setups, and access permissions across key platforms.
Vendor & Asset Tracking:
Maintain IT asset registers and coordinate with external IT consultants for advanced technical issues.
Data Security & Hygiene:
Enforce basic IT security policies (password rotation, 2FA, data backups, hardware hygiene).
Qualifications & Requirements
Experience:
3-5 years of experience in HR, office administration, General Affairs, or IT operations support.
Education:
Bachelor’s degree in Business Administration, Human Resources, Information Technology, or a related field (or equivalent practical experience).
Tech Proficiency:
Working knowledge of cloud workplace suites (Microsoft 365).
Basic understanding of hardware setup (macOS/Windows), network fundamentals (Wi-Fi, VPN), and software license management.
Communication:
Excellent verbal and written communication skills; ability to interact professionally with internal staff and external vendors.
Problem-Solving & Multitasking:
Strong organizational skills with the ability to prioritize competing demands in a fast-paced environment.
Fluent Italian and English, Korean is plus.
