Description Job Summary
The Fleet Office Assistant will perform various clerical duties to support the organization, with a primary focus on accurately taking and processing customer orders. This role requires strong organizational skills, attention to detail, and exceptional customer service and communication abilities.
Duties and Responsibilities- Take and process customer orders accurately and efficiently (primary responsibility).
- Communicate with customers to confirm order details and provide assistance as needed.
- Perform routine clerical duties including typing, filing, and completion of simple forms.
- Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
- Serve as the receptionist for the office, greeting customers, employees, and applicants.
- Communicate driver route information and daily schedule to drivers.
- Answer phones, direct calls to appropriate individuals, and prepare messages.
- Copy, sort, and file records related to office activities, business transactions, and other matters.
- Prepare letters, memos, forms, and reports according to written or verbal instructions.
- Sort incoming mail and deliver to appropriate department or individual.
- Process outgoing mail.
- Maintain filing systems either manually or electronically.
- Manage calendars and schedule appointments.
- Perform other related duties as assigned.
- Excellent customer service and communication skills (verbal and written).
- Excellent phone etiquette.
- Ability to type at least 45 words per minute.
- Strong interpersonal skills and ability to build positive relationships with customers and team members.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
Proficiency in Spanish highly desirable.
Dispatching experience highly desirable.
Education and Experience- High school diploma or equivalent required.
- Clerical or order-processing experience preferred.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 lbs at times.
- U.S. citizen or permanent resident.
