Westcroft Health Centre is seeking a proactive, highly organised, and versatile

Deputy Practice Manager to support theday-to-day running of the practice. This is a hands-on and variedroleideal for an experienced administrator who takes pride in ensuring everything runs smoothly, from administrative and operational responsibilities to practical, day-to-day tasks.

The successful candidate will be someone who adopts aflexible, can do approach and is comfortable handling a wide range of duties,from administrative work to general errands, both strategic and routine. Thisrole requires a willingness to take ownership of all aspects of practice operations, no matter how big or small, and a mindset that no task is beneath them if it contributes to the effective running of the service.

Main duties of the job

The Deputy Practice Manager will play a key role in supporting the operational management of the practice. This includes overseeing administrative processes, coordinating staff activity, supporting compliance,and maintaining effective communication across the team,as well as contributing to the upkeep and organisation of the practice environment. HR activities including recruitment, onboarding, employee records management, serve as apoint of contact for employee queries and support the resolution of HR-related issues in accordance with company policies and procedures and compliance with company policies.

Job responsibilities

Key Responsibilities

Support the day-to-day running of the practice, including staff coordination and patient services

Provide cover across departments as needed to maintain smooth operations

Oversee training records and ensure mandatory requirements are up to date

Assist with recruitment and onboarding processes

Coordinate audits, risk assessments, and general compliance tasks

Manage incoming and outgoing communications with staff, patients, and external partners

Organise meetings, prepare agendas, take minutes, and share key updates

Handle patient feedback and complaints professionally, including investigation and response

Maintain accurate staff and operational records

Support clinical teams with clinic organisation, health initiatives, and stock ordering

Oversee aspects of building and facilities management, including coordinating cleaners, obtaining quotations for maintenance or structural work, and liaising with landlords and contractors

Assist with general site organisation to ensure a safe, clean, and well-functioning environment

Provide general administrative and operational support

Person Specification Experience
  • Previous experience in a senior administrative or supervisory role.
  • HR experience.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Confident communicator with the ability to work across different teams.
  • A flexible, proactive attitude with a willingness to take on a wide range of tasks.
  • Experience maintaining records and managing administrative systems.
  • Understanding of confidentiality and data handling standards.
  • Experience in a healthcare or GP practice setting is desirable.
  • Familiarity with Systm One is an advantage.
  • Experience of working in a GP practice
Qualifications
  • GCSE grade A to C in English and Maths
  • GCSE grade A to C in English and Maths
