About the Role

As an Apprenticeship Administrator
, you will work within the Compliance, Data & Funding Team; a team who are continuously improving the current administration systems and proactively supporting the Apprenticeship Services Team in the development of our growing apprenticeship programme.

Reporting to the Apprenticeship Data & Funding Manager, this post will have particular focus providing accurate data management, including inputting, validation of data, administrative duties, supporting the wider Compliance, Data & Funding Team all whilst gaining an understanding of the Department of Work and Pensions funding rules and apprenticeships. The successful candidate will hold high ethical and professional standards and be a highly energetic, confident individual with excellent communication skills and a ‘can do’ attitude to meet the daily challenges of this busy and demanding role.

Key Responsibilities
  • Responsible for the accurate initial and ongoing data inputting and data integrity of information entered into the University’s Learner Management System.
  • Complete appropriate eligibility and suitability checks for applicants applying for the University’s apprenticeship programme.
  • Facilitate the identification or creation of Unique Learner Numbers/Employer Reference Numbers to meet the data requirements of external stakeholders.
  • Responsible for monitoring and analysing meaningful data extracted from the University’s Learner management system.
  • Deputise for the funding co-ordinator to ensure the timely and effective drawdown of funds from external governing bodies.
  • Support the Compliance, Data & Funding Team with the inputting requirements and interrogation of data held in the University’s recruitment system.
  • Support the Compliance, Data & Funding Team to monitor incoming communication, responding to internal and external queries received from applicants both internal and external stakeholders.
  • Provide team support for operational and administrative procedures related to the delivery of Apprenticeships.
About You
  • A high standard of written English grammar and mathematics commensurate with the role.
  • Proven experience of working in a busy office environment.
  • Strong communication and interpersonal skills both written and verbal including active listening skills and the ability to respond to identified needs using varied questioning techniques and with a variety of internal and external stakeholders.
  • Self-motivated with the ability to manage, plan and prioritise your own workload as well as supporting others.
  • Proven knowledge of a range of IT applications including Microsoft Office, Learner Management Systems or equivalent management information system.
  • An ability to deal with and follow complex information and procedures, using initiative and judgement in problem-solving with a keen attention to accuracy and detail in processing data.
  • Excellent prioritising, organisational and time management skills.
  • An understanding of higher and degree apprenticeships.
  • An understanding of the apprenticeship levy and its implications.
  • Experience of working with apprenticeship programmes, providers and employers.
  • Level 3 NVQ/Diploma in Business Administration or equivalent.
