Responsibilities
- Enter purchase orders in internal systems and prepare invoices.
- Acknowledge and accept purchase orders in Customer Portals.
- Prepare and send basic communications with internal and external customers via email.
- Respond promptly to customer communications with tact and professionalism.
- Administer and follow up on customer orders (national and international), including change order management, revisions, and incident tracking.
- Prepare and send shipping documents/paperwork and communicate status to internal teams and external customers.
- Support preparation of offers and management of invoices and delivery notes.
- Update and maintain internal departmental and company procedures; recommend improvements to internal processes and procedures.
- Document internal meeting minutes and notes.
- Support technicians in the administrative and prevention procedures of the Aftersales department.
- Maintain a consistent folder structure with records and archive old purchase orders, invoices, and delivery notes.
- Enter invoices in Customer Portal for timely payment.
- Manage PPE used by technicians in the After-Sales Department.
- Maintain databases and Excel dashboards critical for reporting results to management.
- Create work orders and sales orders in SAP for repairs and other departments.
- Create documents and paperwork for customer property being repaired onsite.
- Enter training documentation for internal and external training for employees.
- Enter calibration records from internal and external calibration events.
- Ensure tasks are performed according to organizational quality management and environmental, health, and safety standards.
- Complete special projects and other duties as assigned.
- 2 years of prior relevant experience.
- High school diploma or GED required; ideally bachelor’s degree in Administration or International Trade.
- Computer experience with MS Office (Excel and Word required).
- Experience with Microsoft Outlook.
- Experience with SAP preferred.
- Previous clerical/administrative experience preferred.
- Detail-oriented with excellent communication, organizational, and customer service skills.
- Prioritize various tasks.
- Work in a fast‑paced environment.
- Work independently and take initiative to accomplish tasks.
- Work cross‑functionally with internal teams.
- Intermediate Spanish language skills preferred.
