Overview:
The Program Coordinator position provides support for the Applied Investment Management (AIM) Program. The role involves coordinating events, trips, and learning experiences for staff, students, alumni, and industry thought leaders, and preparing meeting materials and presentations for program board(s). The role also assists with fundraising efforts.

Responsibilities- Regular contact with AIM students and advising on internship placement and full‑time opportunities; provide weekly updates on programming and events.
- Coordinate events, trips (specifically New York and Chicago), industry conferences, annual gatherings in Milwaukee for AIM alumni, and collaborate with program staff.
- Develop presentations, materials and summaries for each event; prepare materials for AIM Academy speakers.
- Work with program staff, students and alumni to schedule interviews, maintain career planning resources, draft presentations and track career opportunities.
- Maintain the SharePoint website listing internship/full‑time opportunities for AIM students; partner with the Business Career Center.
- Monitor the monthly budget, track expenses, create and process invoices, and P‑card reporting.
- Support fundraising efforts including planning events, drafting status reports and communications; track board member dues and event sponsor ships.
- Supervise student employees and interns, including hiring, training, disciplinary actions, and ending assignments.
- Maintain program website and other social media platforms; build a Linked In page and collaborate with Marketing and Communications.
- Provide general administrative support to program staff, coordinate plans and communications across the university.
- Required Knowledge, Skills, and Abilities
- Associate degree in business, administrative, project support or related field with at least 4 years of experience; or a bachelor’s degree with at least 1 year of related experience.
- Proficiency in Excel, PowerPoint, Word, Canva, Microsoft Teams, Bookings, SharePoint, and AI platforms such as ChatGPT and Gemini.
- Ability to multi‑task with interruptions; strong organizational, communication, and detail‑oriented skills.
- Administrative, data reporting, and project coordination experience.
- Preferred skills:
Automation abilities (e.g., Python) to streamline processes; supervisor experience.
