Position OverviewThe Practice Support Team Specialist is responsible for providing point‑of‑contact administrative support to attorneys within the Labor & Employment Practice Group. The role requires managing multiple projects, delegating tasks, coordinating schedules, and ensuring high‑quality legal documentation and client communications. The specialist works onsite three days per week from one of our Madison, Milwaukee, or Chicago offices.
Responsibilities- Coordinate workflow for assigned attorneys, delegating specific tasks to other teams and ensuring quality control.
- Prepare, type, transcribe, revise, and proofread legal documents, prioritizing assignments and meeting deadlines.
- Assist in coordinating timekeeper calendars, meeting arrangements, travel plans, and itineraries.
- Handle invoicing and billing matters, prepare billing letters, monitor alternative fee arrangements, and support matter budget tracking.
- Process new client/matter intake, including conflict checks and opening new files.
- Review and route incoming mail and faxes, prepare outgoing mail, and ensure attachments and exhibits are included.
- Maintain attorney contact lists and track CLE and membership requirements.
- Collaborate with team members and firm personnel, actively participate in regular meetings, and share training tips.
- Log and manage workflow using team software.
- Support the Labor & Employment practice with e‑filing, calendar coordination, document edits, and pleadings.
- Operate office equipment, manage timekeeper demands calmly, and maintain confidentiality.
- High School Diploma or GED.
- 3–5 years of legal experience.
- Excellent customer service and client communication skills.
- Strong organizational and independent teamwork abilities.
- Typing speed of at least 60 words per minute.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Proficiency in Adobe Acrobat.
- Two‑year degree.
- Experience focused on Labor & Employment law.
- Previous transcription experience.
- 1–3 years as a high‑level executive assistant.
- Experience managing an executive calendar.
- Strong process and information management skills.
Employees receive compensation commensurate with skill and experience. Salary ranges vary by location and other legal factors.
- State of Illinois: $51,000 – $98,000
