Accounts Payable Specialist

The Accounts Payable (AP) Specialist is responsible for processing invoices, managing vendor payments, maintaining accurate financial records, and ensuring all payables are completed accurately and on time. This role works closely with vendors, internal departments, and the accounting team to support the organization's financial operations.

• Review, verify, and process vendor invoices and employee expense reports.
• Match invoices with purchase orders and receiving documents (3-way matching).
• Enter invoices into the accounting system accurately and efficiently.
• Prepare and process weekly check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve invoice discrepancies.
• Maintain vendor records, including W-9s and payment information.
• Respond to vendor inquiries regarding payment status and account balances.
• Assist with month-end and year-end closing activities.
• Prepare accounts payable aging reports and other financial reports.
• Ensure compliance with company policies, internal controls, and accounting procedures.
• Support audits by providing documentation and account details as needed.
