- Immigration Case Management/Support – 50-60% of their role!
- Serve as a specialist in their HR Service Center helping with questions.
- Manage a high-volume caseload of approximately 90 active immigration cases, including H-1B sponsor ships, transfers, relocations, and all work visas for sponsored employees.
- Provide strategic support and subject matter expertise on immigration processes, acting as the primary point of contact for inquiries, risk assessments, and escalations—including H-1B and employment-based visas.
- Partner cross-functionally with Talent Acquisition, HR Business Partners, HR Operations, leadership, and other internal teams to support hiring decisions, internal job changes, relocations, and long-term workforce planning for sponsored employees.
- Serve as a key liaison with both internal legal counsel and external immigration attorneys (including Faegre), coordinating on case strategy, required documentation, timely filings, and regulatory compliance.
- Track critical milestones such as H-1B lottery participation, green card eligibility, and visa expirations; proactively update employees, HR partners, and leadership on case status and action items.
- Coach leaders on best practices for hiring sponsored employees, advising on role necessity, compliance, and process requirements.
- Work with Ellie’s team and other stakeholders to gather data, monitor and assess immigration risks (such as potential status revocations), and provide recommendations to mitigate risk across the population of sponsored employees.
- Recommend and lead process improvements to enhance case accuracy, communication, documentation, compliance, and timeliness, supporting ongoing optimization of immigration workflows.
- Support long-term strategic planning by helping the team understand the evolving immigration landscape and developing forward-looking recommendations that align with business needs.
- Oversee the delivery of quarterly updates to key stakeholders regarding immigration cases, risks, and process performance.
- Maintain compliance with all federal and state requirements, including I-9 forms, visa documentation, and document expiration tracking; ensure all records are complete, accurate, and audit-ready.
- Conduct research on case histories, stay current with immigration regulations, and implement best practices for effective case management and program delivery.
- The are transitioning to a new HR Help Desk platform (Oracle HRIS) currently being developed with go-live slated for Q1/Q2.
- Help in optimizing HR Help Desk functions and processes, ensuring a seamless implementation and ongoing continuous improvement… much of this work is done/built out but need someone to take ownership of existing project work, cross-train team members, and facilitate effective knowledge transfer as the system is launched.
- There are four coordinators who handle FAQs, emails, and calls, and they will elevate to this person if they do not know the answer.
- Partner with Centers of Excellence (COEs) to find answers on escalated questions/issues.
