Winthrop & Weinstine is seeking a knowledgeable and driven Legal Assistant to work in our Litigation Department – someone with strong attention to detail who can prioritize the workload for busy attorneys. The ability to work in a fast-paced environment as part of a close-knit team provides a challenging opportunity and an enjoyable workplace.

ESSENTIAL JOB FUNCTIONS (Including, but not limited to):
  • Operate digital transcription application in the preparation of correspondence, memoranda and court pleadings.
  • Serve and file, including electronically, litigation documents with state and federal courts.
  • Provide administrative support such as arranging meetings, answering routine correspondence and making travel arrangements.
  • Review, organize, sort and distribute daily mail on numerous client matters.
  • Assist and review daily shareholder timekeeper time entry, if appropriate.
  • Review and finalize client billings, if appropriate.
  • Maintain electronic and paper client filing and stay current on file openings.
  • Provide quality, responsive customer service to clients and co-workers.
  • Provide docketing/calendaring support.

REQUIRED:
  • Prepare correspondence, documents, and agreements, including document comparisons and conversions, manipulation of pdf documents, editing and scanning.
  • Electronically file litigation pleadings and other documents with state, federal and appellate courts, both locally and nationally.
  • Handle docketing of court scheduling orders, briefing schedules and other court mandated conferences, dates, and other litigation requirements.
  • Maintain electronic client files, including electronic pleadings and indices, as well as original pleadings and client documents.
  • Review, edit and finalize attorney and paralegal time entries and manage client invoices.

    Provide general legal administrative support, including calendar management, scheduling and arranging attorney and client meetings, conferences and depositions, responding to and handling routine correspondence and making reservations/appointments.
  • Provide quality, responsive customer service to clients, attorneys, and co-workers.
  • Dependable, accountable, and consistently demonstrating a strong work ethic with a professional demeanor in all interactions.
  • Strong interpersonal relationships and ability to interact with all levels of the organization.
  • Ability to work well under pressure with deadlines – possess a sense of urgency.
  • Ability to work in a fast-paced environment with a variety of personalities and work styles.
  • Ability to be flexible in schedule and adaptable to constant change.
  • Ability to effectively handle multiple tasks and frequent interruptions.
  • Job duties may require time over 37.50 hours per week.
QUALIFICATIONS,

REQUIRED:
  • Professional demeanor, strong work ethic including dependability and accountability.
  • Excellent computer and communication skills, written and verbal.
  • Excellent grammar, proofreading skills, and a keen eye for detail, ensuring high levels of accuracy in all written communications and document preparation.
  • Ability to organize, prioritize, and manage multiple tasks effectively, ensuring completion of assignments despite frequent interruptions and changes in schedule.
  • Ability to work within a team environment and work well under pressure, especially with court deadlines.
  • Advanced proficiency in Microsoft suite and familiarity with electronic documentation.
QUALIFICATIONS, PREFERRED:
  • At least two years of business litigation legal administrative assistant experience in a law firm preferred.
  • Experience in a legal office.
  • Experience in providing administrative support functions.
  • Experience with the following software: iManage, InTapp.
WORKING CONDITIONS:
  • Requires use of office equipment, such as computers, phones, and copiers.
  • Requires sitting and computer-related activities for extended periods of time.
  • Requires occasional lifting up to and exceeding 20 pounds.
