Astera Health is looking for a dedicated and motivated Patient Access Supervisor to lead and support our Patient Access team. This positions primary funtcion is to maintain operations of the clinic registration and scheduling functions for a patient appointment. In addition, the Supervisor is responsible for ensuring effective interaction between patient access and other departments withing the facility. This position is a full-time:80 hours per pay period, Monday-Friday position with the requirement of occasional travel to the satellite clinics.

Essential Duties:

Organizes, plans, and monitors work processes for all clinic scheduling and registration functions in order to provide excellent customer service and to continually improve the quality of the departmental operations.

Oversees the daily activities of the appointment and front desk areas at all Astera Health clinics.

Responsible for ensuring patient scheduling and registration is completed in an accurate, timely and compliant manner.

Identifies issues and takes a lead role in problem solving and working with team members to resolve system issues. Promotes process improvement.

Active participant in meetings as assigned.

Creates and implements new (or changes to) policies and procedures as needed.

Responsible for hiring, training, and developing staff. Conducts department meetings.

Operates within the department budget and manages staff levels to ensure adequate coverage/service while staying within allocated FTE hours.

Completes staff evaluations annually.

Rounds with staff daily and is the direct support person for the frontline team.

Maintains the frontline teams schedule to ensure staffing levels are met and adjusts accordingly.

Direct Oversight:

Carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Core Competencies:

Knowledge of medical terminology for efficient and accurate registrations

Ability to answer the phone in a caring and professional manner

Ability to effectively operate Electronic Health Record (Epic).Ability to effectively operate standard office equipment and software

Strong oral and written communication skills

Demonstrates a high degree of commitment to customer service excellence

Possess cross-cultural sensitivity

Ability to work effectively with internal and external stakeholders, building strong relationships

Ability to perform tasks both collaboratively and independently

Demonstrates concern for patients of all ages, visitors, and co-workers.

Maintains confidentiality of information and privacy compliance.

Physical Requirements:

Sedentary Duty: exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects including the human body (based on U.S. Department of Labor data). The following physical activities are required to perform this job:

Occasionally (up to 33% of work time):
Standing, walking, reaching, lifting.

Frequently (34-66% of work time):
Sitting, handling, fingering, talking, hearing, near acuity vision.

Required Qualifications:

Associates degree in Medical or Administrative Assistant Registration/scheduling experience in a healthcare facility

Or combined years of relevant education and experience to perform the essential duties of this position.
