JOB SUMMARY

Management and assignment of car wash work orders via Nuvolo. Coordination and dispatching of the Holiday car wash maintenance team and external vendors to required job sites as directed by electronic service requests or other. Dispatching duties also involve operating and managing Holiday’s electronic call logging/work order programs, computer programs, and other internet‑based programs as directed. Another key focus of this position is to provide first‑line contact and troubleshooting support to the stores requesting service.

The Car Wash Maintenance Dispatcher will attempt to troubleshoot reported problems with the stores to potentially resolve issues without dispatching service to the site. If troubleshooting does not resolve the issues, the dispatcher will direct an internal tech or outside vendor to the site.

Responsibilities / Accountabilities
  • Manage work orders and calls from corporate stores and provide basic car wash troubleshooting.
  • Create, operate, and monitor the use of work orders in Service Now/Nuvolo for maintenance needs.
  • Create, operate, and monitor the use of Teams folders, spreadsheets, and other programs for office and tech use.
  • Prioritize projects and dispatch internal/external technicians accordingly.
  • Plan, schedule, and execute preventive maintenance needs for car washes and related equipment.
  • Monitor vehicle traffic, vehicle maintenance, and remote employees as needed.
  • Communicate with stores, internal service team, internal departments, operations, outside vendors, and regulatory agencies in a clear and precise manner regarding car wash.
  • Provide technical information to non‑technical individuals in a clear and detailed manner.
  • Assist in setting up new vendors for services.
  • Negotiate vendor services & labor rates, parts contracts (IE pit pumping and bay cleaning).
  • Approve and process invoices in accordance with company policy via programs such as Service Now, Nuvolo, Laserfiche, and POPA.
  • Review, create work orders, and/or provide approval to estimates for needed repairs and/or requested changes to car washes.
  • Store visits to meet with vendors and internal departments for service issues or reload walk throughs as needed.
  • This position will include participation in the rotating on‑call, emergency after‑hours program for all stores. (general maintenance, not car wash)
  • Other duties as requested by Supervisor.
Education / Training Required
  • Possess a basic knowledge of equipment repairs, mechanical background preferred.
  • High school graduate.
Experience Required
  • Previous carwash, maintenance, field service experience preferred.
  • Ability to handle multiple tasks and stressful situations.
  • Previous dispatch experience preferred, but not necessary.
  • Strong communication skills are necessary.
  • Ability to work independently or with minimal supervision.
  • Knowledge of Microsoft Office and other internet‑based programs are a must.
  • Possess a strong attention to detail.
  • Must possess strong organizational skills.
