Position:
Office Professional Special Services
Purpose:
This position is a member of a Special Services team and as such it plays a significant role in providing administrative clerical support to the Special Services Administrators, programs, and services within the special services department including special education, 504, and health services.
Primary Customers:
Internal:
Special Services Administrators and staff External:
Families/students, volunteers, service organizations, and community agencies.
- High School graduate or equivalent.
- One year post-secondary is preferred.
- Significant office experience preferred, including use of a wide array of technology.
- Ability to initiate and work independently, yet take direction from multiple sources.
- Attend to details and set priorities considering the overall district and programmatic direction.
- Problem solve effectively. Implement administrative policies, research resources in specific situations, and provide important data as needed.
- Strong communication and organizational skills.
- Work effectively in a team environment.
- Ability to focus in a fast-paced environment while sustaining a positive customer service attitude.
- Maintain confidentiality with sensitive information.
- Knowledge of education related policies and procedures.
- Proficiency in Microsoft Office Suite (including Excel, Outlook, and Powerpoint) and a variety of databases.
- Able to operate a variety of office equipment.
Support the monitoring of program data structures/systems for the special services department. Maintaining databases will require collation of data, integration of data from multiple sources and then be able to assess, modify and reorganize based on district, state and federal requirements.
Prepare, update, and maintain district student files for special services and health services. Complete required data reporting to State agencies including MDE and MDH for reimbursement, funding and monitoring purposes accurately and on time. Managing the purchasing, receiving and billing for all needs within the special services department and with outside agencies. Provide support on researching, organizing, writing, and managing grants to support student services work.
Prompt and respectful assistance to both external and internal customers.

A continuous performance improvement process will be developed with the supervisor, the department director or building principal.
