Resident Administrator

3 Month Contract

Toronto- ONSITE

$25 hourly

Leasing and Resident Administration

  • Manage the rental process for vacant suites, including:
  • Processing rental applications.
  • Conducting credit checks and reference checks.
  • Preparing, completing, and administering tenancy agreements.
  • Coordinate resident move-ins and move-outs in partnership with Maintenance staff, including elevator scheduling and access arrangements.
  • Conduct move-in and move-out inspections and maintain accurate documentation.
  • Assist with regular inspections of residential suites and common areas.
  • Maintain accurate resident files and ensure all records are current and organized.

Resident Relations

  • Provide exceptional customer service and foster positive relationships with residents.
  • Respond to and track resident service requests and maintenance concerns.
  • Address resident inquiries, concerns, and complaints in a professional and timely manner.
  • Support resident retention initiatives and contribute to a positive living environment.

Property Operations

  • Liaise with contractors, vendors, and service providers and coordinate on-site visits.
  • Monitor contractor performance to ensure work quality and customer service standards meet company expectations.
  • Assist with building inspections and operational reviews.
  • Support fire and life safety programs, including participation in required procedures, testing, and emergency response protocols.

Financial Administration

  • Collect rent and other tenant revenues in accordance with company policies and procedures.
  • Perform prescribed banking procedures accurately and within established timelines.
  • Assist with accounts receivable activities, including:
  • Issuing late rent notices.
  • Supporting collection procedures.
  • Preparing eviction-related documentation when required.
  • Attend Landlord and Tenant Board hearings as necessary.
  • Process invoices for payment and maintain supporting records.
  • Order goods, supplies, and services as required for property operations.

Administrative Support

  • Answer and respond to telephone, email, and in-person inquiries.
  • Perform filing, record management, and general office administration duties.
  • Maintain property management databases and systems, including Yardi.
  • Prepare correspondence, reports, notices, and other administrative documents.
  • In the absence of the Resident Services Manager, perform delegated supervisory and administrative responsibilities as assigned.

Required Knowledge, Skills and Qualifications

Knowledge

  • Working knowledge of the Employment Standards Act and relevant residential tenancy legislation.
  • Understanding of property management practices, leasing procedures, and customer service principles.
  • Knowledge of fire and life safety regulations and procedures.

Skills

  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Yardi property management software.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Problem-solving and conflict resolution skills.
  • Leadership, coaching, and team collaboration abilities.

Qualifications

  • Post-secondary education in Business Administration, Property Management, or a related field is preferred.
  • Previous experience in residential property management, customer service, or administration is considered an asset.
  • Ability to work independently and as part of a team.
  • Successful completion of a criminal background check and credit check.
