Speech Specialists is a multidisciplinary team of Speech-Language Pathologists, Speech-Language Associates, Behavioural Therapists, and Occupational Therapists providing private in-home and clinic-based services across Southern Ontario.

  • Position Summary

    We are seeking a highly organized and detail-oriented Administrative Assistant (Clinic Operations) to support the daily administrative functions of our organization. This role is integral to maintaining efficient clinic workflows, supporting clinicians, and ensuring a seamless client experience.

    The successful candidate will thrive in a fast-paced healthcare environment and demonstrate professionalism, discretion, and strong operational coordination skills.

    Key Responsibilities

  • Manage and triage incoming communications including voicemail, emails, and general inquiries
  • Coordinate client scheduling including booking, rescheduling, cancellations, and confirmations using scheduling software
  • Maintain and update referral tracking systems and generate operational reports as required
  • Execute billing functions including invoicing, payment processing, receipts, and account statements using Stripe
  • Support administrative workflow across multiple clinics and practitioners
  • Ensure accuracy and consistency in client records and documentation
  • Assist in general clinic operations and administrative coordination tasks as required
  • Qualifications & Skills

  • Fluent in English (spoken and written)
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent organizational, communication, and time-management skills
  • High attention to detail with the ability to manage multiple priorities
  • Previous experience in an administrative or healthcare office setting is an asset
  • Knowledge of SEO and social media marketing is considered an asset
  • Ability to work independently as well as collaboratively within a team environment
