We are seeking a highly organized and detail-oriented Administrative Assistant (Clinic Operations) to support the daily administrative functions of our organization. This role is integral to maintaining efficient clinic workflows, supporting clinicians, and ensuring a seamless client experience.
The successful candidate will thrive in a fast-paced healthcare environment and demonstrate professionalism, discretion, and strong operational coordination skills.
Key Responsibilities
Manage and triage incoming communications including voicemail, emails, and general inquiriesCoordinate client scheduling including booking, rescheduling, cancellations, and confirmations using scheduling softwareMaintain and update referral tracking systems and generate operational reports as requiredExecute billing functions including invoicing, payment processing, receipts, and account statements using StripeSupport administrative workflow across multiple clinics and practitionersEnsure accuracy and consistency in client records and documentationAssist in general clinic operations and administrative coordination tasks as requiredQualifications & Skills
Fluent in English (spoken and written)Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)Excellent organizational, communication, and time-management skillsHigh attention to detail with the ability to manage multiple prioritiesPrevious experience in an administrative or healthcare office setting is an assetKnowledge of SEO and social media marketing is considered an assetAbility to work independently as well as collaboratively within a team environment
