Role Description
The Career Foundation operates five Integrated Employment Services (IES) Centres across the Greater Toronto Area. As an Intake Specialist, you will be responsible for conducting comprehensive intake assessments to understand each client’s employment history, skills, career interests, and barriers to employment.

Your role applies counseling‑informed communication techniques and labour market knowledge to determine the most appropriate service pathway for each client and to support community outreach and off‑site intake activities to increase referrals.

You will also assess financial supports for eligible clients, deliver Better Jobs Ontario (BJO) information sessions, and prepare and submit BJO applications. The position requires strong assessment and analytical skills, empathy, rapport‑building abilities, and technical proficiency in digital reporting systems. While documentation and compliance are essential, the primary focus is to ensure clients are appropriately assessed and connected to the services best suited to support sustainable employment outcomes.

Responsibilities
Client Assessment and Service Navigation

Conduct comprehensive, individual client intake meetings to assess employment history, transferable skills, career interests, and barriers to employment, and determine the most appropriate service stream under the IES model.

Meet individual performance targets through effective time management and prioritization.

Apply counseling‑informed techniques, including active listening, motivational interviewing, and empathy‑based communication, to build trust and rapport with clients.

Develop individualized Employment Action Plans outlining recommended services and supports aligned with client goals.

Assess and administer financial supports for eligible clients, including transportation, training, work equipment, and work attire, to reduce employment barriers.

Provide clients with information on community programs, training opportunities, and career pathways aligned with labour market needs, and facilitate referrals to appropriate services.

Travel to community partner locations to deliver off‑site intake services, enhance accessibility, increase referrals, and maintain effective relationships within the community.

Perform other relevant duties as assigned.

Client Engagement and Program Support

Facilitate Better Jobs Ontario (BJO) information sessions and group workshops and assist clients with completing BJO applications.

Support ongoing client engagement through regular communication, follow‑ups, and participation in service activities.

Demonstrate comprehensive knowledge of Employment Ontario services, program streams, and eligibility criteria.

Deliver services in a professional, welcoming, and client‑centered manner while maintaining confidentiality.

Perform other relevant duties as assigned.

Administration and Data Management

Document intake assessments, eligibility determinations, and service plans within online case management systems, ensuring accurate, up‑to‑date records that meet funder‑mandated reporting and compliance requirements.

Complete file checklists and support internal file audits and quality assurance activities.

Communicate with team members to obtain missing documentation and ensure file completeness.

Maintain strict confidentiality of client and employer information in accordance with privacy and security protocols and policies.

Provide reports to management, as assigned, related to intakes, service delivery, and other program data.

Perform other relevant duties as assigned.

Qualifications & Skills Required

Post‑secondary diploma or degree in Career Development, Counseling, Psychology, Social Services, or a related field, or an equivalent combination of education and experience.

Minimum of two years’ experience in employment services, vocational counseling, job coaching, client assessment, case management, or related transferable experience.

Strong analytical skills, attention to detail, and counseling‑informed communication skills.

Proven track record in a results‑driven environment, with experience meeting targets.
