Job Summary

The Team Assistant at North Mississippi Health Services is responsible for supporting effective department function and activities. This role engages strong organizational and communication skills to interface with customers and clients, collect and process payments, resolve financial issues, maintain accurate documentation and records, execute clerical tasks, and pursue ongoing professional development to support efficient and effective area function.

Functions
  • Communicating with patients and their families about the referral process, services available, and what to expect.
  • Assuring patient care and staff schedules are updated.
  • Providing oversight of productivity and reports discrepancies to the manager.
  • Assuring accuracy of timecards as it relates to scheduling time off, logging time off, call pay while assuring sufficient volume for patient care.
  • Taking notes during meetings and writing minutes, memos, and agendas.
  • Ordering and maintaining office supplies, patient care supplies and medical equipment.
  • Keeping track of medical supplies and equipment, ensuring inventory levels are maintained.
  • Answering and screening telephone calls.
  • Directing incoming/outgoing calls to appropriate parties or taking messages.
  • Efficiently sorting, distributing, and processing incoming/outgoing mail.
  • Performing other duties as assigned while demonstrating a willingness, ability, and team spirit to provide optimal customer satisfaction.
  • Assisting with documenting and reporting any incidents or adverse events involving patients or staff.
  • Preparing reports on quality metrics, patient outcomes, and compliance with care standards.
  • Assuring accurate and up-to-date patient files, including visit notes according to regulatory standards.
  • Ensuring physician orders are sent for signature, signed in a timely manner, received prior to billing.
  • Cross‑training for various tasks.
  • Managing the intake of new patient referrals, including gathering necessary patient information and assigning to appropriate disciplines.
  • Coordinating with referral sources such as hospitals, clinics, and physician offices to ensure a smooth transition of care.
  • Verifying and periodically re‑verifying insurance and authorizations as indicated.
  • Documenting referral information in the patient's record in collaboration with the intake team.
  • Attending and participating in required in‑services, performance improvement activities, and other educational programs.
  • Adhering to NMHS/NMMC Policies/Procedures/Guidelines.
  • Complying with appropriate Local/State/Federal policies/procedures/guideline/regulations/laws/statutes.
Qualifications
  • Education – High School Diploma or GED Equivalent or equivalent. Required.
  • Licenses and Certifications – (none specified).
  • Work Experience – 1‑3 years. Minimum of 1 year of experience in a medical office setting. Required.

  • Working knowledge of basic computer hardware/software and office equipment.
