Intake & Administrative Analyst for the Center for Advocacy, Resources & Empowerment (CARE)

The Intake & Administrative Analyst provides confidential intake and administrative support for individuals impacted by sexual assault, stalking, and dating or domestic violence, ensuring timely and accessible services. The role supports CARE under the supervision of the CARE Director and serves as a bridge to direct services and campus resources.
Responsibilities- Screen clients upon initial contact with CARE and assign them to the appropriate advocate.
- Maintain organizational and communication systems to screen survivors, make referrals, and escalate crisis responses as needed.
- Support CARE operations and maintain relations with on- and off-campus resources and providers.
- Assist in administrative tasks including managing client files and databases, and updating calendars and meeting agendas.
- Coordinate event outreach, internships, and communications (newsletters, list-servs, social media) for CARE.
- Oversee day-to-day CARE office operations, IT/phone matters, ticket requests, and supply management.
- Support survivor circles and prevention work by assisting with calendar management and events.
- Assist with budgeting, purchasing, procurement, and processing of paperwork for CARE events and expenditures.
- Distribute mail and packages for the CARE office.
- Support the CARE email inbox and respond to inquiries in a timely and appropriate manner.
- Coordinate with Prevention Education Coordinators to manage workshop requests and logistics.
- Assist interns with newsletters, campaigns, and event materials.
- Maintain a welcoming office environment and ensure resources are available for clients.
- High school diploma or equivalent experience.
- Commitment to working in an organization dedicated to combatting and preventing intimate violence.
- Ability to work with individuals who have experienced sexual assault, stalking, dating/domestic violence, childhood sexual abuse, or sexual harassment.
- Professional skills to screen appointment crises, provide initial intervention and safety services, and refer to appropriate resources.
- Experience in client support in sensitive or confidential settings (reception or client management).
- Strong listening skills and ability to respond quickly to problems; excellent written and verbal communication.
- Demonstrated ability to work in a college/university setting and collaborate across departments.
- Administrative experience with standard office procedures and equipment; computer proficiency (Mac, Microsoft Word/Excel, Google Suite).
- Ability to exercise sound judgment and maintain confidentiality; strong organizational and time-management skills.
- Ability to manage multiple projects, navigate interruptions, and work in a multicultural environment.
- Knowledge of trauma-informed approaches to client reception and care.
- Understanding of power-based interpersonal violence and survivor support.
- Experience in campus advocacy, rape crisis, domestic violence services, or related fields.
- Bilingual in Spanish and/or Mandarin.
- Pre-employment background check and employment misconduct disclosure process.
- HIPAA training within 30 days of hire;
Title IX training every two years and 65-hour training for Sexual Assault and Domestic Violence Counselors. - Complete UC compliance training; on-site work required; occasional evenings/weekends; ability to travel between work locations.
- Vaccination policy compliance as required by UC.
- Budgeted Salary: $33.79/hour
