Location: California

Energy policy startup is looking for an Executive Assistant to support the Founder and Chief of Staff. This is an exciting opportunity to work on a small team with a unique perspective on energy policy and take on a high-impact role. You will provide admin support to the CEO through inbox and calendar management, travel planning, and meeting support. Reporting to the Chief of Staff, you'll also take on diverse projects, including event planning, database maintenance, content support, and other initiatives, while implementing systems and processes to enhance workflows.

Someone who is a proactive executor willing to wear multiple hats and think creatively when problem-solving. Preference for someone based in Orange County, LA, or the San Diego area who is willing to go into the office in Laguna Beach 1-2 days/week. 90-130K+ DOE + benefits, 401(k), and flexible PTO.

Responsibilities:
  • Provide support to the Founder and Chief of Staff.
  • Manage calendar and coordinate meetings, ensure time is optimized, and priorities are aligned.
  • Triage incoming email inbox to flag important communications and ensure timely follow-up.
  • Arrange and book travel, including providing detailed itineraries.
  • Manage and optimize databases to ensure accurate information and maintenance.
  • Plan events and be the point of contact to vendors and other service providers.
  • Assist with posting video content and written communications, including proofreading and editing.
  • Prepare visual materials for meetings and other speaking engagements.
  • Implement processes to optimize workflows.
  • Assist with project management and driving execution across the organization.
  • Assist with tracking company metrics.
  • Provide technical support to the internal team and clients.
  • Ad hoc projects such as research, etc.
Qualifications:
  • Previous 3+ years of experience as an Executive Assistant or similar role, ideally in a fast-paced startup environment.
  • Extremely detail-oriented and organized.
  • Strong communication skills - both verbal and written.
  • Exceptional project and task management skills with the ability to stay on top of multiple priorities.
  • Tech-savvy and strong knowledge of AI tools to boost productivity.
  • Proactive problem-solver who will think outside the box.
  • Willing to wear many hats, have a wide breadth of interests, and take on challenges.
  • Responsive and available during outside hours on evenings or weekends.
