Executive Assistant to Two Firm Partners Time Protector | Connector | Mission-Driven | UHNW
We are seeking a highly organized, detail-oriented Executive Assistant to support two partners at a boutique accounting firm. This role blends traditional EA responsibilities with light tax/accounting support, including monthly reporting, client communication, and various technical administrative tasks. While an accounting background is not required, strong technical abilities, especially proficiency in Excel, are extremely valuable. This is an excellent opportunity to work with two exceptionally kind partners who value work–life balance, clear communication, and strong collaboration.
The ideal candidate thrives in a fast-paced environment, enjoys problem-solving, and takes initiative to keep operations running smoothly.
- Act as the primary point of contact for two partners, managing scheduling, correspondence, and follow-up tasks
- Serve as a gatekeeper by addressing questions and resolving issues before escalating to the partners
- Manage biweekly and monthly agency calls; schedule meetings, send reminders, and ensure the partners are prepared
- Occasionally attend client calls and follow up on action items
- Provide proactive reminders for key deadlines, tax filings, projects, and open tasks
- Track and monitor budget vs. actuals for agency clients, ensuring account managers close books on time and external reporting is collected
- Prepare monthly budget vs. actuals reports for select clients using Microsoft Excel
- Assist tax partners in managing client notices to ensure timely and accurate responses
- Draft notice responses, coordinate signatures, and occasionally communicate with state agencies
- Receive, assess, and distribute incoming mail to appropriate parties
- Support various special projects as required
- Previous experience as an Executive Assistant
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to multitask and manage shifting priorities
