The Office Administrator is responsible for creating a welcoming, efficient, and well-organized environment for all staff, talent, and guests. This role manages daily front desk operations, maintains office cleanliness and supplies, supports studio activity, and ensures the overall office experience is seamless and professional.
Key Responsibilities Front Desk & Guest Experience- Greet and welcome all guests, talent, and visitors.
- Offer beverages and escort guests to the waiting area or studio as needed.
- Notify Producers when guests arrive and assist them upon departure (parking validation,
- Escort guests from the sky lobby when required.
- Ensure all TVs are turned on with correct content each morning.
- Open doors, turn on neon signage, and ensure the front desk iPad is charged and accessible.
- Maintain a clean and organized front desk and shared office space at all times.
- Keep conference rooms clean, organized, and ready for use.
- Restock snacks, beverage fridges, and office supplies daily.
- Load, unload, and put away dishwasher items; ensure no dishes are left overnight.
- Break down cardboard and manage waste appropriately.
- Water plants weekly.
- Distribute packages promptly and to the correct recipients.
- Notify team members when mail or deliveries arrive.
- Manage daily outgoing shipments and walk packages to drop-off areas.
- Unpack and organize snack and water deliveries.
- Ensure studios are clean, refreshed, and stocked with water and recording essentials.
- Help maintain and update studio calendars.
- Assist with scheduling talent and guests when needed.
- Submit and track maintenance requests.
- Coordinate with parking garage attendants for validations.
- Work with management to communicate major updates, road closures, and events to the team.
- Set up new employee desks for first-day readiness.
- Assist with meeting room setup for team meetings or client visits.
- Support office organization, including closets and call rooms.
- Strong communication and hospitality skills.
- Highly organized, detail-oriented, and proactive.
- Ability to manage multiple tasks in a fast-paced environment.
- Comfortable interacting with talent, executives, and guests.
- Previous front desk, office coordinator, or hospitality experience a plus.
