Administrative Coordinator – Community Reception:
Support daily operations, manage communications, and maintain an efficient front‑desk environment.
- Answer incoming telephone calls cheerfully, determine caller purpose, and forward calls to the appropriate personnel or department.
- Retrieve messages from voicemail and forward them to designated staff.
- Take and deliver messages or transfer calls to voicemail when recipients are unavailable.
- Respond to general questions about the community, providing addresses, directions, and information, and refer specific inquiries to appropriate staff.
- Welcome on‑site visitors, determine the nature of their business, and announce them to the appropriate personnel.
- Coordinate guest‑room reservations.
- Maintain a current list of residents who are hospitalized.
- Update appointment calendars, including transportation and beauty calendars, as directed.
- Receive, sort, and route mail; maintain and route publications.
- Distribute written communication and accept and sign for deliveries (mail, prescriptions, etc.).
- Maintain copy and fax machines, assist users, send faxes, and retrieve and route incoming faxes.
- Create and print fax cover sheets, memos, correspondence, reports, and other documents as necessary.
- Perform other clerical duties as needed, such as filing, photocopying, and collating.
- Order, receive, and maintain office supplies.
- Collect rent checks from residents and family members and provide necessary information to bookkeeping for billing.
- Collect money for store purchases and meal tickets.
- Drive the company vehicle to social and other destinations when required by the community.
- Perform additional duties as assigned.
- High school diploma or GED, or one to three years of related experience and/or training, or an equivalent combination of education and experience.
- Basic First Aid and CPR certification where required.
- Must successfully complete all Atria specified training programs.
- Ability to read and comprehend simple instructions, short correspondence, and memos; ability to write simple correspondence; ability to effectively present information in one‑on‑one and small group situations.
- Basic arithmetic skills: add and subtract two‑digit numbers, multiply and divide with tens and hundreds.
- Ability to apply common‑sense understanding to carry out detailed but uncomplicated written or oral instructions; ability to deal with problems involving a few concrete variables in standardized situations.
- Proficiency operating telephone, emergency call system, monitoring board or beeper, and photocopier.
- Availability to work various schedules and shifts as needed.
