We are currently seeking a full-time Bilingual Administrative Assistant for the Community Resource Services (CRS) program in our Balboa office. This position reports directly to the Community Resource Services (CRS) Program Manager and is primarily responsible for providing various kinds of administrative support for the CRS Department.
What You’ll Do- Provide comprehensive administrative and word-processing support to CRS staff, including correspondence, photocopying, and mail distribution.
- Support onboarding and training of new staff by coordinating office orientation, maintaining orientation manuals, and assisting with technical equipment usage.
- Prepare and maintain client charts and records, including medical documentation, referrals, grants, and tracking open/closed cases using Excel.
- Coordinate petty cash and check requests for assigned programs, maintain accurate accounting records, and liaise with the fiscal department.
- Manage program coordination tasks, including collaborative projects, monthly reporting, and participation in required meetings and travel.
- Maintain office operations by managing inventories, ordering office, kitchen, and maintenance supplies, and submitting work orders.
- Assist with organization and upkeep of departmental resources, including parent libraries across multiple sites.
- Support special projects, safety initiatives, and other duties as assigned by CRS leadership.
- Hours:
Full-time, Monday – Friday. 8:00am – 4:30pm (30-minute meal period). - Fully onsite.
- Starting Salary: $18.00 – $20.00/hour.
- Bilingual in Spanish and English required.
- Minimum of four years’ experience in a clerical or administrative role.
- Highly organized, detail-oriented, and able to prioritize, plan, and manage time effectively.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Demonstrates sound judgment, accuracy, and commitment to quality and continuous improvement.
- Self-motivated with the ability to work independently while completing projects and reports on time.
- Strong interpersonal skills; courteous, respectful, and effective team player.
- Maintains confidentiality, reliability, punctuality, and a strong commitment to departmental and organizational goals.
- High School Diploma or equivalent required.
