Administrative Coordinator – Engineering Technology Department – Solano Campus, California Polytechnic State University (Cal Poly)

Job Summary

Under general supervision from the Department Chair, the Administrative Coordinator is responsible for providing overall administrative and clerical support to the Engineering Technology department. Duties include implementing and evaluating administrative systems, directing student assistants, ensuring compliance with university and campus policies, coordinating faculty recruitment and onboarding paperwork, inputting course schedules, handling procurement and travel coordination, and managing a range of finance and faculty personnel transactions, including lecturer contracts.

Key Responsibilities
  • Provide administrative support to the department and collaborate with the broader College of Engineering administrative team.
  • Coordinate and implement uniform processes and procedures across departments.
  • Maintain continuity of administrative operations during Department Chair transitions.
  • Act as a liaison between faculty, students, and university services.
  • Handle financial transactions and faculty matters such as lecturer contracts and travel arrangements.
  • Support Solano campus Mechanical Engineering faculty scheduling, procurement, and event support.
Key Qualifications
  • Demonstrated customer service experience requiring a high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to handle sensitive interpersonal situations.
  • Ability to foster communication and teamwork in a diverse environment.
  • Excellent communication skills, both verbal and written.
Education & Experience
  • High School Diploma or equivalent; 45 wpm typing.
  • Five years of general office support or technical experience; or training at a vocational school or full‑time college education may substitute for two years of required experience.
Salary & Benefits

Anticipated Hiring Range: $52,404 – $67,788 per year. Classification Range: $48,696 – $79,836 per year. Full‑time, 1‑year temporary position eligible for full benefits, including medical, dental, vision, and CalPERS retirement.
