General StatementUnder the general supervision of the Accounting Technician, the Accounting/Administrative Assistant provides clerical support to the University-Student Union (U-SU). The Accounting/Administrative Assistant performs varied clerical tasks and projects to operate the U-SU Administration Office effectively.
General Duties and Responsibilities- Assists in maintaining financial records, running reports, and recording a variety of transactions;
- Assists in preparing payroll reports and timecard adjustments;
- Reconciles and maintains receivables and prepares reports;
- Assists in maintaining the account register, counting, and reconciling the vault;
- Assists in processing bank deposits and deposit transmittals;
- Assists in researching data required for reports to the CSU system office, auditors, and state and federal agencies;
- Assists in verifying accounts payable checks for accuracy;
- Responsible for developing a thorough knowledge of the policies and procedures of the auxiliary system;
- Assists with the completion of various projects assigned to the Associate Executive Director/Director of Financial Services;
- Prepares routine correspondence as necessary;
- Assists in processing, filing, maintaining, and purging documents according to procedures;
- Assists with projects and events, and may assist staff in leading the Front Desk Administrative Aide on projects;
- Performs other duties as assigned.
- Currently enrolled Cal State LA student with a minimum of 6 undergraduate units and a minimum G.P.A. of 2.0, or graduate student with at least 4 graduate units and a minimum Cal State LA cumulative G.P.A. of 3.0;
- Willingness to work with an ethnically diverse and culturally pluralistic student body and staff;
- Ability to interact positively and build effective working relationships;
- Willingness to provide effective customer service promptly and courteously;
- Ability to respond to walk-ins and other inquiries;
- Proficient oral, written, and listening skills;
- Strong organizational skills: the ability to prioritize and complete assigned duties and varied tasks;
- Strong interpersonal and group communication skills in a team environment;
- Must be self-motivated, able to adapt to changing workloads, and have some independent judgment;
- Experience using various desktop and web-based applications and office equipment;
- Previous experience with cash handling and customer service preferred.
