CHCA is seeking a full‑time Medical Office Assistant to join our Skilled Nursing Facility Practice team at our Fair Oaks office. In this role you will provide vital administrative support for operations within Skilled Nursing Facilities (SNFs). Your responsibilities will include coordinating appointments, preparing reports, auditing records, managing incoming calls, processing data requests, maintaining electronic records, and handling correspondence. This fast‑paced environment requires attention to detail, adaptability, and a proactive attitude.
Key Responsibilities- Coordinate provider appointments for specialty services (dental, podiatry, mental health, etc.) ensuring patients are scheduled and seen within Title 22 regulations.
- Collect and submit all patient services and billing information accurately and timely.
- Efficiently manage data entry, prepare reports, and process invoices.
- Professionally handle incoming calls, respond to information requests, and liaise with clients as required.
- Verify, file, and maintain medical records electronically, ensuring accuracy and confidentiality.
- Draft and type correspondence, process death certificates, distribute documents, and maintain organized filing systems.
- Work across various systems, including Point Click Care, eCW, Excel, and Word.
- Adhere to appropriate legal, ethical, and professional standards in all interactions and documentation.
- Perform miscellaneous duties and support activities as assigned to ensure smooth practice operation.

- 3 years related experience in a healthcare office or Skilled Nursing Facility environment
- Familiarity with medical and dental terminology and EHR systems (eCW preferred)
- Proficiency with Microsoft Office, especially Excel and Word
- Experience with medical billing/coding/documentation preferred
- Medical Assistant or Medical Office Assistant certificate preferred
- Bachelor’s degree preferred; high school diploma or GED required
- Attention to detail
- Basic administrative and clerical operations knowledge
- Strong computer skills including operating system knowledge, internet, and email
- Effective written and verbal communication
- Excellent organizational and follow‑up skills
- Self‑starter who works effectively alone or in a team
- Valid driver’s license with automobile insurance
