What You’ll Do- Administrative Support: Manage the Director's inbox and calendar, draft routine correspondence for review, take meeting notes, and track action items.
- Policies & SOPs: Enter approved edits, maintain version control and change logs, distribute updated policies, track staff acknowledgments, and flag documents due for annual review.
- Auditing & Quality Assurance: Run scheduled documentation audits in Kibu, report findings and trends to the Director, and follow up with supervisors until corrective actions close.
- Compliance Tracking & Reporting: Maintain the compliance calendar, track staff training and certification expirations, and prepare a monthly compliance summary.
- Licensing & Inspections: Track business license renewals, property tax deadlines, State Fire Marshal inspections, and DMH Office of Licensure and Certification (OLC) deadlines, and prepare documentation for reviews and surveys.
- Fleet & Workers' Compensation: Maintain vehicle fleet records, coordinate repairs and driver eligibility checks, and support workers' compensation audits, renewals, and claims paperwork.
- Medication Support (Administrative Only): Place pharmacy refill orders per established procedure, track refills and deliveries, and maintain pharmacy communication logs.
- Incident Tracking (Support Only): Maintain incident report logs and deadline tracking. Investigations and decisions stay with the Director.
- Genuine passion for empowering individuals with I/DD.
- High school diploma or equivalent. An associate or bachelor's degree in healthcare administration, business, or a related field is preferred.
- Exceptional emotional intelligence and interpersonal skills across diverse backgrounds.
- 1–2 years of administrative experience, preferably in healthcare, human services, or disability services.
- Strong attention to detail and organization, with clear written and verbal communication.
- Discretion with confidential information, including protected health information (PHI).
- Experience with Kibu or similar documentation systems, Google Sheets trackers, auditing, or Missouri DMH waiver services and HIPAA is a plus.
- A supportive, collaborative environment where your contributions are valued.
- Real opportunities for professional growth.
- The chance to lead a dedicated team in an innovative support model.
- A deeply rewarding career with visible daily impact.
