General SummaryAssist the Payroll Manager with payroll processing and salary data maintenance, ensuring compliance with applicable laws. Responsibilities include recording hours, processing time cards, compiling payroll statistics, and supporting accounting entries. This full‑time, in‑person role requires regular on‑site attendance.
Responsibilities- Support the implementation of payroll policies, processes, and procedures across all locations.
- Assist in ensuring timely and accurate payroll processing with Payroll Supplier(s).
- Support payroll administration, reporting, and audit activities.
- Provide training and support to staff on payroll and time sheets, including inquiries and New Hire Orientation.
- Aid in setting up payroll activities and offer guidance as needed.
- Manage relationships with third‑party suppliers to ensure quality and compliance.
- Maintain accurate payroll records and documentation for compliance and audits.
- Research and resolve payroll discrepancies to ensure accuracy.
- Oversee timely filing of payroll taxes with federal, state, and local authorities.
- Collaborate with Accounting, Finance, and HR to ensure accurate payroll accounting entries.
- Assist in payroll and benefits reconciliations, ensuring compliance with garnishment and deduction regulations.
- Communicate pay or policy issues to stakeholders.
- Conduct ongoing quality assessments and support process improvements.
- Perform other duties and special projects as assigned.
- Associate of Arts Degree in a related field; relevant experience may be considered in lieu of formal education.
- At least three (3) years of payroll processing experience with systems like ADP, Paychex, or similar.
- Strong knowledge of wage and hour laws, payroll taxes, and employment compliance.
- Understanding of time and attendance policies and multi‑state payroll planning.
- Proficient in payroll process design, improvement, and report generation.
- Skilled in organizing and sharing knowledge through systems and networks.
- Excellent relationship management, communication, diplomacy, analytical, and leadership skills.
- Detail‑oriented, efficient, able to work independently, and handle confidential information.
- Strong verbal and written communication skills; proficient in Microsoft Office and 10‑Key.
- Bilingual in English/Spanish preferred.
- Able to work under pressure, meet deadlines, and adapt to changing priorities.
- Maintains confidentiality and delivers excellent customer service.
- Regular on‑site attendance as required.
