Position Summary

Under general supervision of the Associate Vice President for Faculty Affairs and the Academic Personnel Services Manager, the Academic Personnel Specialist provides support for the implementation and enforcement of the Unit #3 Collective Bargaining Agreement for Faculty Employees, with emphasis on independently providing oversight and management of Retention, Tenure and Promotion procedures. The APS Specialist serves as the main campus support to department IUPCs, college personnel committees, deans, and probationary faculty members.

Key Responsibilities

Providing technical support to faculty who are creating periodic evaluation files for review, ensuring timely and accurate responses to file building questions, and referring questions to the AVP for Faculty Affairs as appropriate. Maintaining spreadsheets used to track probationary faculty evaluations, post-tenure review, and promotion of tenured faculty, as well as personnel committee spreadsheets and listservs. Training department personnel committees regarding evaluation responsibilities and generating RTP reports for campus entities.

Overseeing the paf email and all faculty personnel action files (PAFs). Posting current RTP Criteria & Standards to the APS website.

Knowledge, Skills, and Abilities
  • Strong analytical skills with the ability to interpret policies and procedures and communicate to various levels within an integrated and complex structure.
  • High level of proficiency in the use of a full range of common Google Workplace apps, as well as MS Office Suite programs (e.g., Outlook, Excel, Access, PowerPoint).
  • Ability to produce communications and information with a high degree of accuracy.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive materials.
  • Ability to effectively use applicable information systems and applications in analysis, research, and reporting activities and projects.
  • Ability to exercise exemplary professional judgment; work independently with little or no supervision; prioritize work; organize and facilitate multiple projects simultaneously; and anticipate problems and use initiative to correct or improve situations.
  • Ability to analyze, evaluate, develop, and implement improvement of administrative policies, procedures, and practices at the university level.
  • Ability to develop and conduct training/workshops on various topics for varying audiences.
  • Ability to establish and maintain positive working relationships with others within and outside the department.
  • Ability to effectively use all communication methods and skills, including persuasion and negotiation, to build consensus and achieve short‑ and long‑term goals and objectives.
  • Ability to operate computers and printers, standard office equipment including copy machines, multi‑line telephone, and fax machine.
  • Professional experience working with a diverse population.
Minimum Qualifications

Bachelor’s degree, or completion of a professional training program specific to the position (e.g., Certified Public Accountant) and directly related work experience, or a combination of education and experience, which demonstrates the ability to perform the essential functions of the position.

Preferred Qualifications

Equivalent to five (5) years of progressively responsible general administrative support experience. Knowledge of web page applications, database software, and other software relevant to the position. Experience with faculty, academic student employee, or staff recruitments. Knowledge of, and experience using the Oracle Business Intelligence (OBI) data warehouse and People Soft Human Capital Management systems.
