Position Summary: The Police Dispatcher is a highly service-oriented member of the University Police Department responsible for maintaining effective and efficient communications among the dispatch center, law enforcement officers in the field, outside emergency response, parking enforcement, transportation services and the public. The position also handles basic records maintenance and distribution. Job duties must be performed quickly, clearly and accurately.
Key Responsibilities- Answer and screen emergency and non‑emergency incoming calls.
- Operate police department and other emergency communications equipment to dispatch police or parking officers to calls for service, critical incidents and emergencies.
- Enter and retrieve data or police reports, activity logs and criminal information; use automated dispatch and law‑enforcement systems and databases.
- Operate the 911 telephone system and serve as the primary answering point for fire, medical and police services.
- Coordinate emergency responses, including performing emergency dispatch duties.
- Monitor and use multiple radio channels and frequencies for on‑campus agencies; monitor on‑campus alarm systems.
- Assist the public on the phone and at the police department window; respond to requests for mutual aid.
- Process crime reports, traffic or parking citations and prepare them for distribution to the appropriate agencies.
- Maintain records, file, fax and scan documents; update automated telephone notifications during emergency incidents.
- Provide related clerical and/or administrative support to the department.
- Follow chain of command and communicate with other staff members.
- Support other public safety and community service functions including parking and access services.
- Answer inbound telephone calls (including 911 and TDD), receive initial information, evaluate and prioritize calls.
- Dispatch police units using a computerized dispatch system.
- Maintain constant radio contact with all personnel in the field.
- Monitor radio traffic of other agencies and campus departments.
- Respond to persons at the public counter for initial reports or general questions.
- Provide general information and referral services outside of normal business hours.
- Enter various records into CLETS, NCIC and CLEWS systems.
- Interpret database returns for officers and broadcast as needed.
- Contact public and private agencies for mutual assistance.
- Maintain telecommunication briefing books for missing persons, runaways, wanted persons, stolen vehicles, etc.
- Monitor campus fire, panic, intrusion and environmental alarm systems and process all alarms.
- Maintain department's RIMS computer system and make timely entries regarding calls for service.
- Process crime reports and citations, including printing, copying, scanning, distribution and filing.
- Take messages for all department personnel.
- Answer multi‑line telephones promptly and forward calls in a timely manner.
- Occasionally prepare various statistical reports as requested.
- Provide computer entry and documentation of parking citations, permits, boots and querying of the parking system.
- Update 826‑INFO line as required.
- Archive reports, records and logs.
- Inform supervisor of work progress and potential problems.
- Assist with campus lost and found.
- Maintain logs through computer‑aided dispatch, Excel, or other specialty forms.
- Process and maintain RIMS warrant database.
- Issue and maintain records for building pass system.
- Maintain a log for campus keys checked out from the department.
- Maintain and update access and dispatch manuals.
- Respond to public questions in a courteous and timely manner.
- Attend meetings, conferences, workshops and training sessions and review relevant materials.
- Coordinate with appropriate persons to maximize interdepartmental efficiency.
- Train new dispatchers as needed.
- Perform other directly related duties.
