Healthcare Administration
Under the direction of the Patient Services Manager, the Clinic Administrator provides comprehensive administrative support to Real Options and its Healthcare and Optimal Health Coach teams, including managing patient records, coordinating appointments, assisting with clinic operations, supporting staff communication, and ensuring efficient day-to-day office functions. The Clinic Administrator also helps maintain compliance with organizational policies, contributes to special projects, and supports a welcoming environment for patients and visitors.
Qualifications- High school diploma or equivalent.
- Maintains good physical and mental health.
- Demonstrates practical oral and written communication skills.
- Bilingual preferred but not required.
- Demonstrates ability to interact with the public in a pleasant, helpful, and professional manner.
- Fully aligns with Real Options’ Statement of Principle, Purpose, and Mission.
- Maintains strict confidentiality.
- Proficient in computer programs and ability to learn new software as needed.
- Has a genuine desire to support women and families experiencing unplanned pregnancies, especially those who are abortion‑vulnerable or abortion‑minded.
- Provides warmth and hospitality to patients, callers, and visitors.
- Serves as a communication liaison between patients and healthcare staff.
- Coordinates administrative support for patient check‑in, check‑out, and transfers to additional services.
- Supports the Medical Director, Director of Patient Services, Nurse Manager, PSM, APSM, and other clinic staff with assigned tasks, including translations if bilingual, and temporary duties when volunteers are limited.
- Answers telephones in accordance with established protocols.
- Manages patient appointment reminders and schedules return appointments.
- Prepares new medical packets and charts as needed.
- Contacts patients who miss appointments to reschedule.
- Maintains patient care areas, equipment, and supplies efficiently and safely.
- Attends all paid staff meetings, including monthly staff prayer meetings and biannual all‑staff gatherings.
